Events are a type of disaster that could/couldn't damage players and/or could/couldn't damage a vehicle. Currently, there are 8 types of events in-game.

  • 1.1 How To Survive Speeding Van
  • 3.1 How To Survive a Thunderstorm
  • 4.1 How To Survive a Sandstorm
  • 5.1 How To Survive a Tornado
  • 7 Unidentified Flying Object (UFO)
  • 8.1 How To Survive a Solar Eclipse
  • 9.1 How To Survive a Heat Wave
  • 10.1 How to Survive the Meteors

Speeding Vans [ ]

Speeding Van is an event as it generates randomly when no events are present. Speeding Van event spawns a Rusty Van with no drivers inside and does not have any doors. The Van will goes the opposite way of the road, killing any players it runs over. When the Van spawns, players can hear loud engine noises from distance about three seconds before being ran over. The Van will despawn as soon as it's out of the player's render distance. Sometimes, the Van may smash a building, either it stops moving or it floats while rolling in the sky before touching the ground and continuing it's run again.

How To Survive Speeding Van [ ]

To survive Speeding Van , avoid getting hit by it.

Sandbugs [ ]

Sandbugs can generate at random times. When players get close to them, Sandbugs hit them with a splatter that turns the screen green. They do not damage players and do not damage vehicles.

Thunderstorm [ ]

A Thunderstorm is an event that causes heavy rain and thunders. When a Thunderstorm occurs, the weather will start changing into a rainy-bluish colour to signify a thunderstorm, with rain particles showing up afterwards. When a thunder strikes, your screen will become bright and will shake. If a thunder strikes a vehicle, it will be damaged and will be covered in rust, and some of the vehicle's parts will also be unattached. If a vehicle's engine was active and got struck by a thunder, it would lose all the vehicle's engine stored gas. The thunder strikes can also kill players.

How To Survive a Thunderstorm [ ]

The Thunderstorm' s thunders strike in random directions and locations. To avoid the lighning bolts, you can do the following: Park your vehicle inside a building (if the vehicle can fit inside it) and take shelter inside it, or keep driving fast enough to avoid the strikes, or just sit in your car till it ends if its okay if it gets struck and detaches everything.

Sandstorm [ ]

When a Sandstorm occurs, the atmosphere becomes foggy and wind particles will show up. The fog has a desert-orange colour. The Sandstorm does not damage Enemies , but does damage players gradually if without shelter. Vehicles will also be pulled a little by the Sandstorm's current and be a little bit slidey too.

How To Survive a Sandstorm [ ]

To survive a Sandstorm , you must either take shelter in a building , remain in your vehicle, or have a moderately sized object above your head Ex: Bathroom Door. Remember to turn off your engine and lift the handbrake if you are taking shelter in your car, unless your vehicle can withstand the wind while driving.

-Note that you can't survive it in the F1 Formula as it does not have a roof.

Tornado [ ]

A Tornado is a large funnel-shaped cloud that forms randomly while traveling. If players get too close, the tornado will suck them up and their vehicle too, breaking it apart, and hurl its parts everywhere. It is non-fatal, but can result in failure as parts may be destroyed or scattered too far to retrieve. It can be identified without visual contact by the sound of strong wind and a slightly trembling screen.

- The F1, if driving at a fast speed can go through the tornado.

How To Survive a Tornado [ ]

To survive a Tornado , simply drive away from or around the tornado as quickly as possible with any available vehicle or run away from it on foot.

The Wind event (Separate from the tornado event) is a powerful gust of wind that blocks the view along with pushing you or your car when driving. It is non-fatal but can result in unwanted crashes.

Wind is harmless and cannot do any damage whatsoever.

Unidentified Flying Object (UFO) [ ]

In the distance, players can see a UFO in the desert. The green 'Tractor Beam' Pulls players and vehicles alike upwards towards the Saucer with the beam dealing some damage to the player.

Solar Eclipse [ ]

Every once in a while, a Solar Eclipse can occur. This causes the area around players to darken, turning night for a short period of time, while the sun is darkened & the chromosphere along with the corona are visible. Looking at a Solar Eclipse will slowly damage you and darken your screen the longer you stare.

How To Survive a Solar Eclipse [ ]

To survive a Solar Eclipse , you simply don't look at the sun.

Heat Wave [ ]

Your screen will turn red and you will emit sweat particles and lose twice as much hunger as usual.

How To Survive a Heat Wave [ ]

To survive a Heat Wave , avoid getting too hungry, as your hunger will be dropping twice as usual. To find some food, drive to a nearby building that has food and eat it as quickly as possible.

Meteors [ ]

As of now, there are no visual ques or sound ques when Meteors are going to fall.

How to Survive the Meteors [ ]

To survive the Meteors, Park your vehicle inside a building (if the vehicle can fit inside it) and take shelter inside it, or keep driving fast enough to avoid the strikes.

All Events in A Dusty Trip and how to deal with them (Wind Update)

Image of Vignesh Raja

From sudden sandstorms to resource scarcity, A Dusty Trip is full of events that can challenge your survival skills . This guide lists all these events and provides practical strategies, ensuring you're always prepared.

How to deal with all A Dusty Trip Events - Roblox

Below, you can find the list of all the conditions in the game and the methods to deal with them.

Drive-By Shooting

Solar eclipse , thunderstorm, vehicle troubles.

a trip event

The Drive-By Shooting is a unique event after 5000M in A Dusty Trip. In it, you will find a group of fully armed NPCs driving a van and shooting at you. If they manage to hit you, it will immediately kill you and cause you to lose all your progress. So, how do you counter them? You can quickly identify the mob from their vehicle's V8 engine, which produces intense noise from miles away. Using this sound clue, stay inside a nearby building. But, if you cannot find one, stay inside the car and travel in the opposite direction. Still, you will take some damage if the bullets penetrate through your windows.

An Image of a player affected by Heatwaves in a Dusty Trip

Heatwaves are random. When they appear, they will make your screen turn red, wobble, and have a mirage-like effect, making your players sweat a lot. Though they don't reduce your health, your hunger will decrease twice as fast, and you can only overcome it by eating more food than normal. Consistently storing a lot of food in the trunk will ensure you're always prepared for any heatwaves you do encounter.

An Image of a player spotting a sandbug hill in a Dusty Trip

You can find several Sandbug hills or holes throughout the map. Each one of these will contain a handful of the annoying insects. They are passive creatures and won't do anything other than temporarily blinding you for a while. So, the only advice is, please don't touch them; even if you do, you won't take any damage or deal with any issue beyond temporary blindness.

Sandstorms are similar to thunderstorms but are much easier to counter. During a sandstorm, heavy gusts of winds blow towards you and your car, damaging your health. To avoid this, always close the four doors of your vehicle. That's it! You can keep driving without worrying about anything. But if you are on an ATV or motorbike, you can do nothing other than stay at a nearby building until the sandstorm passes.

An Image of a player spotting a solar eclipse in a Dusty Trip

When a Solar Eclipse occurs, your surroundings and screen will turn dark. To avoid this, stop looking at the Solar Eclipse, as it will further darken the screen, and continue with what you were doing. The screen will return to its standard color after the eclipse finishes in 10 to 15 seconds.

An Image of a player standing surviving a thunderstorm in a Dusty Trip

Thunderstorms are everyday events in A Dusty Trip. You can find them frequently after crossing the 1500M mark every 10 seconds. It will rain heavily during a thunderstorm, with lightning striking at random locations. The best way to counter a thunderstorm is to take temporary shelter inside a building, as the lightning will kill you if you don't have any rigid protection. You can also drive during a thunderstorm with any four-wheeled vehicle, but please prepare to lose all your gas, the health of your car, and even some of your health if struck randomly by a bolt of lightning.

An Image of a player driving through tornado in a Dusty Trip

Like real life, a tornado resembles a funnel-shaped moving cloud that can destroy your vehicle and send all its parts randomly flying through the air if you drive through it. However, the probability of that happening is low, as you can quickly identify any tornado miles away and change the direction of your car to a safe one or find any building near your vicinity. If you do take shelter, bring your vehicle inside the building, as the tornado will tear your car apart if parked outside.

An Image of a player spotting a UFO in a Dusty Trip

While traveling through the desert, you may encounter UFOs at random locations. Many players say that UFOs may kidnap you if you stare at them for a while, eliminating you from the game. Still, these are just rumors, and nobody has concrete proof about exactly what they do for now. I suggest ignoring the UFOs, giving them a wide berth, and continue driving.

Fully Assembled Car

Once in a while, your vehicle may stop for some unknown reasons, even if you have adequate fuel, engine oil, or water for your radiators. These are called Vehicle Troubles, and the only way to move forward is to reassemble the automobile from scratch. So, disable and fix it again to move forward. We've got complete guides on how to fix your car and how to fix your van in A Dusty Trip , should you need some further assistance diagnosing and resolving the issue.

A strong wind blowing in A Dsuty Trip

Sometimes, a strong gush of wind blows horizontally in any direction. This mighty wind can throw your vehicle off balance, tumbling into the desert, and will lead to your death. So, how do you save yourself from this event? Well, apply the  handbrake  and sit tight until the wind goes away.

a cake a other sweets and decorations for a travel-themed party

A travel-themed party is a great way to celebrate this exciting and rewarding hobby and the world’s most wonderful destinations .

Travel-themed parties can also be a great way to get people talking and make the conversation flow. People who attend travel-themed parties will want to share with others the places they have been and the places they someday hope to go.

Ideas for travel destinations and vacations can be shared, and possible travel companionships will blossom, too.

So let’s get started.

Read on to get great themed party ideas for food, decor, and more.

Start Planning for Your Travel-Themed Party

No matter what you are celebrating, a travel-themed party should be full of travel-related decorations, finger foods, sweets, savory snacks, and even costumes, or at least a travel-themed dress code for your guests, too, right?

So, where to start?

Narrowing your travel theme down is an excellent place to start planning for a travel-themed party, and here are some suggestions to get the ball rolling and your creative juices flowing.

Single Country/Regional Theme

Maybe you are farewelling a guest, or you are migrating to a new country; you could make the theme all about that country, region, or part of the world.

With a single country theme (or even region i.e. Central America , Asia), you could theme the whole party, including decorations, dress code, food according to that country (or region) and their culture, traditions, and even flag.

Feel free to be creative. You may even find inflatables with personalized designs, which can be the country’s flag, map, or name letters, and place them as a unique decor in your party.

travel photos as decor for a party

With an idea like this, you can go all out.

There are countless ways to decorate, various foods you can serve, and many engaging activities you can plan for a travel-themed party!

Decoration Set Top Choice

The easiest way to decorate your party is by getting a set that covers most of your needs!!

Get a Travel Themed Party Decorations Set before you start your journey

Method of Travel Theme

You may want your party to celebrate travel in general, and that’s a fine idea also.

Or, you may want to focus on one method of travel, such as backpacking or cruising. Or focus on some of the attractions and activities of a particular country or region like hiking, skiing , water sports, or even wildlife or a safari.

No matter your sub-theme, your travel-themed party will be memorable if it matches your interests and those of the people you invite.

If some people you invite are not as into travel as others, those passionate about traveling will pass their enthusiasm to the other guests.

After selecting a theme for your party, start getting creative for your invites. This way, you can build excitement and anticipation for your travel-themed party, so your guests can’t wait for the date!

Essential Travel Resources

❗Don’t forget travel insurance

This company is the one I trust, it’s one of the most essential things for any trip. It has your back in case you get sick abroad, or have an accident.

🎒Pack smarter, not bulky

Check out this vacation packing list , including all the essentials you need to pack when traveling, from travel clothing to backpacks and more.

🏡Where to Stay – Here are Suggestions

This is my favorite place to look for accommodations , it offers different types, a ton of locations, and good price options.

🗺️Get Around Hassle-Free

This one is the perfect option to look for different transportation options between cities, from flights, buses, and taxis to minivans and more.

🛫Find Cheap Flights

Whenever I need to fly, I head to this website for low-cost flights.

Build Excitement with Themed Invitations

You can build anticipation for your party with themed invitations based on your overall theme selected earlier.

Encourage guests to bring travel photos or souvenirs from their travels to share, or ask them to bring a dish of local cuisine from their favorite destination or something that matches your overall theme for the party.

A great idea would be to design invitations like plane or cruise tickets, baggage travel tags, or even planes or cruise ships.

Or check out these suitcase-shaped party invitations that you can order pre-made.

There are several options for effective invitations; some are easier than others. You can hand-make invitations, buy some at a store, or use free party invitations online to email your guests.

Invitations Top Choice

The most creative way to invite someone to a travel-themed party is using a suitcase!

Get some Travel Themed Invitation Cards with Envelopes before you start your journey

Food and Drinks

You could include in your invite for guests to bring a dish from the region or country of your theme, or if you want your guests to be impressed, organize catering according to your theme.

Whether it’s Guatemalan or Central American cuisine , Asian or European cuisine, if you plan well and hire a professional caterer, or even if you prepare the food yourself, your party will surely be memorable.

several dishes on a metal place in a catering for a party

Regarding drinks, there are many options to suit your travel theme. You could include wine from France, sake from Japan, or one of my personal favorites, cocktails like the Michelada from Colombia .

Get Creative with Decorations

There are many great ideas for travel-themed party decorations .  If you focus on a specific region or country, you can base your decor on that.

If it’s a general travel-themed party, you can print out or buy travel posters, display food in open suitcases, use maps as placemats, and make airplane cupcake toppers on sticks.

You can use helium party balloons or make a cardboard train centerpiece out of old shoe boxes, really, the ideas are endless, and you are limited only by your imagination.

If you are throwing a party in your garden, you may consider getting an excellent garden furniture set .

travel themed party decor on top of a table with food

Play Travel-Themed Games

You can adapt many well-known party games to a travel theme. Instead of pinning the tail on the donkey, you can pin a remarkable landmark on a map.

There are games like ‘Twenty Questions’ where the correct answer must be a destination.

If you like drawing games, write travel-themed words on index cards, try to draw the word, and encourage other guests to guess.

You could also have fun by teaching and learning dances from other countries or asking travel-themed trivia questions.

Word games are a great option also for example, one player names a city or country, and the next player must name a city or country that begins with the last letter of the first guest’s choice.

Use your creativity, and maybe you can create games everyone can enjoy or use some of the best road trip games !

Wrapping it All Up

There are many different directions you can go with a travel-themed party.

In this article, we hope to have provided a really great place to start by first picking a travel-related theme and narrowing it down a bit to a specific region or country or even to a particular type of travel like backpacking or cruise vacations that can also serve as themes for the party.

From invitations to decor and food and drink, you now have an excellent place to start planning your travel-themed party so you can set a date and start sending out invites!

Maybe you will be so inspired after hosting this first party that you have more in the future.

No matter what happens, you will have a memorable party you will never forget. And you are in the best place to start planning again in the future for another party, thanks to this article.

Want to start planning for the year ahead? Here are more than 20 reasons to consider a once-in-a-lifetime trip in 2023.

WorldPride crosses the equator

Since its inaugural event in Rome more than two decades ago, this semiannual global celebration of LGBTIQ+ pride has never been held in the Southern Hemisphere – until  2023 , when it will touch down in Sydney for 17 days of parades, parties, exhibits, immersive art installations, sporting events and more.

Key dates: Though the extravaganza runs from February 17 to March 5, things really kick off with an opening concert on February 24 starring Kylie Minogue – “not only a beloved musician and rainbow icon, but the highest selling Australian-born solo artist of all time,” per Sydney WorldPride CEO Kate Wickett. The Bondi Beach Party on March 4 is another hot ticket, with Nicole Scherzinger set to headline.

Dominica parties hard

One of Lonely Planet’s Best in Travel picks for 2023 , the Caribbean island of Dominica has a big year ahead. Its three main festivals are back in business: following successful runs in 2022, Jazz N’ Creole and Dominica’s World Creole Music Festival are returning, and Mas Domnik, aka “The Real Mas,” is back for Carnival for the first time since the pandemic.

Key dates: Mas Domnik , February 20 to 21; Jazz ‘N Creole , April 30; World Creole Music Festival , October 27 to 29.

Latin American and Caribbean Carnivals for every traveler

Burning Man explores its animal instincts

Welcoming 75,069 participants at its peak in 2022, Nevada’s artsy, week-long Black Rock Desert gathering returns in 2023 with the theme Animalia .

“This year’s Burning Man theme will celebrate the animal world and our place in it – animals real and imagined, mythic and remembered – and explore the curious mental constructs that allow us to believe that imagined animals are real, real animals are imagined, and that somehow, despite all evidence to the contrary, mankind is somehow not part of the animal kingdom,” writes Stuart Mangrum for the blog Burning Man Journal.

Key dates: The event is scheduled for August 27 to September 4. Ticket on-sale  dates have yet to be announced for 2023, but early passes have previously gone on sale in February, the main sale in late March and last-minute tickets at the beginning of August. Prior registration is required for all options.

Sporting and cultural events

Super bowl lvii.

At this point in the NFL season, the teams battling it out for Super Bowl supremacy are still to be determined – but we do know Rihanna is providing the halftime entertainment. If that’s enough to pique your interest (and how could it not be?>), tickets are still available (on the resale market, for big spenders only). And there’s plenty to do in the Phoenix metro area before and after the big game, which is taking place at State Farm Stadium Glendale, home to the Arizona Cardinals .

Key date:  Super Bowl LVII will take place on Sunday, February 12.

2023 FIA Formula One World Championship

Engines will be revving in Bahrain  come early March, with three days of testing leading up to the first race of the F1 season at the track in Sakhir .

Key dates: Testing begins March 3, then the 2023 season kicks off with the Bahrain Grand Prix on March 5.

Where and how to watch sport like a local

Four people sit on a bench by a lake in a park with cherry trees in blossom, Tokyo, Japan

Sakura season

Japan has finally reopened to individual travelers, so if catching the cherry blossoms at their peak has long been on your list, now’s a great time to go. While you should check the forecast before committing to a particular region (the trees are in full bloom at staggered times across the country),  Fukuoka is a safe bet for hanami (cherry-blossom viewing) in March. The biggest city on the southern island of Kyūshū , this  Best in Travel pick offers fantastic food and a beautiful bounty of flowering trees.

Key dates: Because it’s a natural phenomenon, there’s no set schedule here. In 2022, the bloom began in mid-March and peaked a couple weeks later, per Kyuhoshi.com  – but you’ll want to keep an eye on the forecast as the season draws closer before making any nonrefundable plans.

Eurovision Song Contest

Typically the winning country hosts the Eurovision finals the following year, but when Ukraine’s Kalush Orchestra took home the coveted glass microphone in 2022, plans had to change. A twin city of Odesa , Liverpool was chosen from a shortlist of seven cities to host on behalf of the besieged Eastern European nation in 2023.

Key dates: The Eurovision semifinals are slated for May 9 and 11; the final showdown follows on May 13.

10 things Liverpool locals want you to know before you visit

An aerial view of Westminster Abbey, London.

Coronation of Charles and Camilla

This spring, King Charles III and the Queen Consort Camilla will be crowned at Westminster Abbey , continuing 900 years of tradition. Unless you’re an A-lister, the ceremony isn’t open to the public, though traditionally there’s been a procession through the streets of London afterward. Reports indicate that given the current economic climate this will likely be a more modest affair than Elizabeth II’s back in ’53. Still, expect rates on accommodations to soar and availability to be minimal around coronation weekend.

Key dates: The coronation is scheduled for May 6.

Where to explore royal history in London

FIFA Women’s World Cup 2023

If it felt weird to watch the World Cup ahead of the winter holidays rather than over the summer, not to worry – the international soccer competition returns to its usual season in 2023, when women’s teams from 32 countries take the pitch in Australia and New Zealand .

Key dates: The group stage begins July 20, and the round of 16 starts August 5. The quarterfinals take place on August 11 and 12 and the semis on August 15 and 16. The third-place game will be held on August 19 and the final on August 20.

Rugby World Cup 2023

South Africa will defend its title, Portugal will play its first match on this stage in 16 years and Chile will join the fray for the first time ever when the Rugby World Cup comes to France . The pool matches will be played at stadiums across the country, from Paris to Marseille  and  Lyon to Lille  – on the off chance you need an excuse for a road trip .

Key dates: The opening match kicks off September 8, the quarterfinals are October 14 and 15 and the semis are October 20 and 21. The bronze final is October 27, and the final is October 28.

International African American Museum

More than 20 years in the making, the International African American Museum opens in 2023 in Charleston , South Carolina .

Covering almost 150,000 sq ft of exhibition, learning and interpretive space on the site of a notorious former slave-trading port, the Henry Cobb–designed IAAM has nine galleries with exhibitions delving into the horrors of slavery and the African diaspora’s contributions to US history, among other themes. There’s also a memorial garden, an infinity reflection pool and a Center for Family History that will serve as a much-needed resource for African American genealogy.

"The International African American Museum’s work meets at the intersection of local, national and international stories that comprise a holistic view of the African American journey," chief learning and engagement officer Malika Pryor-Martin tells Lonely Planet. "[It's] not a monument to the carnage and injustice that was the slave trade. It is a testament to the fundamentally human experience of African American people who navigated great pain and joy: a people who survived and triumphed and are here now, telling their own story."

Key dates: The IAAM was scheduled to open in late January, but it's since been delayed due to unforeseen circumstances. It's still slated for 2023, though, so keep an eye on the official site and socials for updates.

Grand Egyptian Museum

After years of delays (both COVID-related and not) Giza’s long-awaited Grand Egyptian Museum finally looks set to open. The showstopping US$1.1 billion, 484,000-sq-ft facility has “jutting, prowlike lines [that] resemble an enormous ship run aground in the desert,” National Geographic reported in October, housing 12 exhibition halls and 100,000 artifacts, including more than 5000 burial treasures from the tomb of Tutankhamun – on display together here for the first time ever.

Key dates: Doors should be opening any day now. As of mid-December, the GEM had hosted a limited number of private events and group visits, with a trial phase for public visits due to be announced “soon,” per the museum’s Instagram .

Robot Science Museum

Back in 2019, Istanbul- and Seoul-based Melike Altınışık Architects won a design competition for a new Seoul museum dedicated to robotics – to be built by them, too. The RSM was slated to open in late 2022 in Chang-dong’s “New Economic Center,” and while updates haven’t been forthcoming, we’re hopeful this is the year.

Key dates:  TBA.

Istanbul Modern

After four years at its temporary home in Beyoğlu , Turkey’s first museum of contemporary art is set to reopen at its original location in Karaköy , in stunning new digs designed by architectural maestro Renzo Piano. The five-floor, 15,000-sq-m (161,459-sq-ft) space will include an outdoor cafe and sculpture garden, a below-ground cinema and a rooftop deck – not to mention permanent and temporary galleries boasting 3300 sq m (35,521 sq ft) of exhibition space.

Key dates:  Piano's first project in Turkey will be unveiled for visitors on May 4.

14 must-do things on your trip to Istanbul

A view of El Capitan mountain in Yosemite shows the "firefall" - a natural phenomenon when a waterfall appears as though it's glowing.

Catch the Yosemite firefall

Between mid- and late February, when the conditions are just right, Yosemite National Park ’s Horsetail Fall glows electric-orange at sunset, giving the illusion of a plummeting flume of fire. In recent years, it’s become a can’t-miss event . (Blame social media.)

Key dates: Though it’s impossible to predict the exact dates the phenomenon will occur, it almost always happens in February. If your schedule’s flexible, check it out during the week; you’ll need a reservation on the weekends of February 10 to 12, February 17 to 19 and February 24 to 26.

Aurora borealis and silhouette of standing man and woman who pointing finger on northern lights. Lofoten islands,Norway. Aurora. Sky with stars and polar lights.

See the northern lights

Though the next solar maximum isn’t expected until 2025, the sun’s activity ramps up as the maximum grows closer, making 2023 as good a time as any to go looking for the aurora borealis. Head north : you’ll have the best odds in Iceland , Norway and Greenland , as well as towns like Fairbanks , Alaska , and Churchill , Canada .

Key dates: The best time to see the northern lights varies by location, however the northern hemisphere's winter is the ideal time for a visit. Here's what you need to know about planning a trip to see the northern lights in Europe .

Make a reservation at a US national park

Many of the USA ’s national parks had timed-entry requirements during and in the aftermath of the pandemic, the majority of which have begun to ease. Yosemite announced in September that it was rolling back the reservation system for guests in summer 2023, while other parks still require permits year-round for certain activities, including viewing the sunrise at  Haleakalā National Park and climbing Angels Landing at Zion National Park .

Key dates:  Currently, most national parks have yet to announce whether or not reservations will be required during peak season (usually mid-May to mid-September) – so one park in particular is on your bucket list, keep checking for news. Of course, permits are still required to camp in the national parks, with most reservations opening up a few months in advance; specifics vary from park to park .

Hike the Inca Trail to Machu Picchu

One of Peru’s most iconic treks, the 24-mile (39km) Inca Trail reopened to hikers in 2022. At first it wasn’t as busy as it had been before the pandemic , but things have since picked up.

Only 500 people are allowed on the Inca Trail per day, and only 4000 or so can enter Machu Picchu , so get your trip on the books as soon as possible to get your first choice of dates (and to have time to train for the challenging climb).

Key dates: High season is between June and September , so book well in advance if you’re considering a trip then. Be sure to pick a reputable operator, as there were reports of overbooking last summer.

Schedule a safari

Whether your dream trip has you following the Great Migration in Kenya or Botswana , Zambia or Namibia , there’s a safari experience that’s right for you. Deciding on a destination is half the battle; once you’ve worked that out, it’ll be much easier to determine the best time to go.

Key dates: In general, aim to book your safari between June and September, but look into the specifics before booking any nonrefundable fares. Remember that some countries have stellar wildlife watching year-round (or at least as late as October and November).

Cars driving the crowded Going-to-the-Sun road on the 4th of July national holiday

Take the wheel on Going-to-the-Sun Road

You’ll be limited to 40mph at lower elevations and 25mph at alpine heights, but no matter – the thrill of driving Glacier National Park ’s Going-to-the-Sun Rd doesn’t involve high speeds. It’s all about the scenery: winding through 50 miles of natural splendor, this is one of the most spectacular stretches of pavement in the country .

Vehicle reservations were required between late May and mid-September in 2022, but the situation is still TBD for 2023, so keep an eye on the park's official site for news and updates.

Key dates: While the low-elevation sections of the road remain open year-round, the more treacherous parts remain closed until the weather cooperates. Usually it’s fully open by early July, though in 2022 late winter weather pushed things back to July 13.

Watch the solar eclipse

Don’t look directly into the sun if you’re out and about in the Western Hemisphere this fall, when an annular solar eclipse is set to leave parts of North, Central and South America in shadow.

These are 5 of the world's best places for stargazing

According to NASA, the eclipse “will begin in the United States, traveling from the coast of Oregon to the Texas Gulf Coast. Weather permitting, the annular eclipse will be visible in Oregon, Nevada, Utah, New Mexico, and Texas, as well as some parts of California, Idaho, Colorado, and Arizona. [It] will continue on to Central America, passing over Mexico, Belize, Honduras, and Panama. In South America, the eclipse will travel through Colombia before ending off the coast of Natal, Brazil, in the Atlantic Ocean.”

Key date: October 14

  • Festivals & Events

For us, festivals are the smell of incense, the fizz of fireworks and the twinkling lights of a Christmas market. They arrive with the thunder of bespeckled dancers and ride on till the wee hours with plenty of dancing and music. They’re the lantern-lit, confetti-filled, mud-slinging reminder that life is there to be enjoyed to the max and that there’s no such thing as too much fun in the name of pomp and ceremony.

From the embers of a fire pit in Papua New Guinea  and the graveyards of Mexico to the tulip fields and orange groves of Europe , festival season never truly dies – and we’ve got your private pass all ready to go. It’s time to strap on your sandals, pick up some maracas and dive right in.

Witness the unique land-diving festival in Vanuatu

There are few experiences that could make an unforgettable trip to the tropical island of Vanuatu any better but witnessing the incredible naghol festival – where local, indigenous men jump from high platforms as part of a coming-of-age ritual - is definitely one of them. Paving the way for present-day bungee jumping, this land-diving ceremony will undoubtedly take your breath away and give you an insight into the Melanesian culture that few visitors ever get to see.

  • Updated: 04/06/2024

Before you jet off on your next adventure, ensure you have all your travel research and planning in order. To help, use this ultimate travel research checklist  to guide you through the necessary steps for more enjoyable planning and a stress-minimized trip.

I love to travel, though I do not necessarily enjoy all the tedious steps required to get out the door and start having fun. So, I rely heavily on checklists like this planning list , a packing list , and a prep and close-the-house list  to streamline my departure. Leaning on these saves me time and money and helps to avoid unexpected situations, making for worry-free trips. I hope they can do the same for you.

So, whether you are a seasoned traveler or a first-time adventurer, I have designed this travel research and planning guide to cover the things you must cross off your to-do list before leaving for a trip.

From the fun stuff like flights, accommodation, and local attractions—to the necessary details, especially for more complicated international travel, like getting visas , knowing about local customs, and purchasing travel insurance , use this list to explore the world confident you have things covered.

The Importance of Travel Research

Before setting off on any adventure, it is crucial to do your research. Travel research helps you gather information about your destination, allowing you to make informed decision s and avoid unnecessary stress. By taking the time to research and plan, you can uncover hidden gems, know about local events, find the best deals, and arrange your itinerary to maximize your trip enjoyment.

Plus, conducting research helps travelers be more thoughtful and respectful visitors by being aware of local customs.

Learn how to further simplify your trip research, planning, and organization for every stage of your trip in “ 5 Proven Ways to Simplify and Organize Your Travel Research .”

When to Start Planning a Trip

When is the ideal time to start planning a trip? Whenever you decide to go! Though—several months, or at least six months in advance , is generally best. However, some destinations, like high-demand national parks with limited visitor and lodging capacity, may require planning up to 12 months or more in advance.

Plus, it depends who is traveling . Solo or couple travelers can more easily plan last-minute trips as they tend to have more schedule flexibility (i.e., not following family school break schedules) and can choose from more affordable double or single-room lodging options, which tend to be more abundant.

Because families usually require more of everything , from plane tickets to more spacious lodging and even bigger rental cars, planning further in advance becomes more necessary, especially as it allows them to secure the best of these resources at the best pricing. If you are a family traveler or part of a big multi-generational group, you will want to begin planning further in advance—six months to a year is ideal.

14 Stages of Trip Planning & 49 Tips

How you follow these 14 stages of travel planning depends on how long you have before you depart for your trip and your comfort level with leaving things to the last minute.

Because I do not enjoy the feeling of big to-dos being undone or last-minute scrambles, I aim to complete all 14 stages of travel planning anywhere from one to several months in advance. Alternatively, you may feel more comfortable playing your timeframes looser.

Step 13: Make Your Finances Accessible on Domestic & International Trips (13 Tips)

Step 14: Stay Connected While You Travel (Resources)

You may have several destinations in mind for an upcoming trip—or none at all. To get assistance narrowing down your options, consider your travel wants, needs, and limitations by answering the seven questions below to help you figure this out.

How long do you have to travel?

Your work and school schedules or family obligations may dictate the duration of your travel. Or perhaps budget  constraints cap the number of your away-from-home vacation days.

So, before you choose where to go, know how long you can spend there. If your holiday break is limited, you will want to minimize the time or expense of transportation, guiding you to pick closer destinations or places with direct flights.

What do you want to do?

Do you want a warm week lounging on the beach within reach of an easy and affordable nonstop flight? Or are you looking for a city trip with cultural activities? Perhaps the pull of nature is strong, and you want a hiking adventure? Or a bit of all of the above? Know what experiences you or your group would like to have during your time away and pick a place that meets it best.

This question is linked to the one above but digs deeper. Confirm your potential destination offers the right breadth and depth of activities and cultural or culinary highlights. Are there enough things to do and experience to last your trip and meet your wants and needs? Determine whether these options will make for an ideal visit.

How to get there?

Explore how to get to your potential destination. Does getting there require a multi-day drive? Or a flight with a long layover? Gain a high-level idea of the time and cost involved with the “getting there” part of travel and confirm your time off can easily accommodate long transit times if required. Then, further dive into this step by learning your best options for getting around  once you arrive, here .

When is the best time to go?

To avoid destinations during their rainy seasons and less ideal temperature times, look up historical weather averages for your potential vacation spot before you commit. Use a helpful site like SunHeron  to look at month-by-month temperatures and rainfall for nearly any destination. Doing this will give you a better chance of having the weather be a helper for a great experience instead of a hindrance

What do you want to pay?

It is never fun to start digging into a trip to an incredible place only to realize a few steps in that you cannot afford it. This exact situation happened to us. Several summers ago, we did not plan far enough in advance for a family summer trip to pricey Jackson Hole, Wyoming. Limited availability and expensive lodging options forced us to backtrack and find a more budget-friendly alternative destination—surprisingly, Vail, Colorado.

So, before committing to a spot, set your budget , then do quick hit searches on the costs of available transportation, lodging, activities, and dining to confirm they fit what you can afford.

Is it safe?

Ensuring your health and safety during your trip should be a top priority, especially when visiting an international destination and you are unfamiliar with the customs and language. Before you go, look up travel warnings , read recent traveler accounts on blogs or social media channels, and even message the account owners with your safety questions. Then, check the local news sites. Gathering information about recent on-the-ground experiences will help you decide if this destination is right for you.

Step 2: International Travel: Understand Visa & Vaccination Requirements & Travel Restrictions/Warnings (4 Tips)

This step is for international travel. Before buying your plane tickets, understand entry requirements related to passports and visas, if applicable.

Ensure you have an up-to-date passport & learn about visa requirements.

For international travel, always ensure your passport will not expire soon and it will be valid for your dates of entry. A good rule of thumb is your passport should be valid for six months after entry . However, sometimes it is less. Confirm exact entry requirements by researching this with the official government customs and tourism organization for the country you plan to visit.

A quick online search should get you the answers you need. For US travelers, check and confirm destination requirements on the helpful “ Learn About Your Destination” page of the US State Department website.

If your passport is expired or set to expire within a validity window, like six months, take immediate steps to renew it. In the US, obtaining a new one can take weeks, if not several months. Get all the details you need about obtaining and renewing US Passports here .

Review travel advisories, security alerts, vaccination & other health requirements.

For US citizens planning to travel abroad, search for your destination on the US State Department website , look for travel advisories, security alerts, and detailed information about health matters, including links to vaccination requirements. Or go directly to the US Centers for Disease Control & Prevention (CDC) Destinations page for extensive health recommendations.

Additionally, maintain your safety by booking lodging  in busier and well-known areas and following the tips I recommend here  to prepare for unexpected emergencies .

If traveling to Europe, know about EITAS, a coming-soon travel permit requirement.

Also, if you plan to travel to Europe, learn about the new electronic travel authorization (ETIAS) for visiting Europe. This coming-soon authorization is not a visa. It is a travel permit. As non-EU Schengen members, US travelers must eventually apply for this new travel authorization before entering Europe.

US travelers, enroll in STEP.

For US travelers for an extra measure of security and safety, consider enrolling your trip with the US State Department as part of their Smart Traveler Enrollment Program, or STEP . Doing this will share your travel status with the US government which will allow you to receive important safety information about your destination country and help the US Embassy contact you in an emergency. Enroll here.

Step 3: On Budgeting, Know What You Can Spend

Does your budget determine where you can go? Or does your destination determine your budget?  An essential part of your travel planning is being realistic about what you can afford . There are few better ways to ruin the effect of a top-notch vacation than to return home after it, realizing you overspent, and then having to contend with the pain of outsize credit card debt and the regret that comes with it.  Instead, book a trip to a place that meets you where your money is. Memorable travel experiences do not have to cost a fortune.

Use a budget calculator like the one I provide for free with signups to my monthly Discovery travel newsletter , shown above. Or create your own budget that includes the major expense items like transportation, lodging, activities, meals, and incidentals that cover anything from souvenirs to travel insurance to pet sitting.

Once you decide on your destination , determine if you will stay in one place or move around and make multiple stops. Will your path of travel be circular—where you end up in the original place you began so that you are flying into and out of the same airport? Or will it be linear? A linear path means you will fly to one destination and return home from another—requiring plane tickets commonly referred to in the travel industry as open jaw tickets.

Your budget and available vacation time may dictate staying in one place. Or it will allow you to include several different stops in one trip.  Get shortcuts to quickly determine a high-level itinerary for any destination in this article .

Flights and related on-the-ground transportation costs can often be the most significant expenses of any trip.  To find the best airfare deals, compare prices across multiple airlines. Consider flexible travel dates to take advantage of cheaper fares and rates. Additionally, look to redeem frequent flier miles or sign up for travel credit cards that give you miles bonuses.

Maximize your savings by learning to find the best fare deals using Google Flights Explore and Google Flights price tracker . Or read this overview of how to track down the best airfare deals .

Step 6: Getting Around, Rental Cars & Local Transportation Options (6 Tips)

Familiarize yourself with these six transportation tips for taxis, public transit, rental cars, and safe walking routes applicable to any new destination.

Plan for how to get around.

Knowing in advance how you plan to get around your vacation spot will impact where you decide to book your lodging . If you plan to rent a car and drive, you will want vacation accommodation that provides easy vehicle access—and ideally nearby and free parking. Or, if you plan to rely on ride shares and public transportation, you may want to ensure close lodging proximity to taxi stands or train or bus stops.

Familiarize yourself with local transportation options.

Before you arrive at your destination, familiarize yourself with the local transportation . Research different options, such as public buses, trains, ride shares, and taxis, to determine the most convenient and cost-effective ways to get around. These alternatives can be very different in international destinations.

For example, the most recommended rideshare in Malta, which we visited for a spring break trip , was Bolt, followed by a few others I was unfamiliar with, like eCabs and Ryde.

If you learn about these things in advance, you can pre-download the apps , set up an account, and link payment methods before you arrive. Additionally, consider purchasing local transportation cards or passes, as these often offer discounted rates for multiple journeys.

Get rental car tips & gather resources.

If you plan to rent a car, review these 15 rental car tips which will save you money, reduce potential hassles, and explain how to get complimentary upgrades. Then, understand whether you need to buy rental car insurance —something that even the most experienced travelers get confused by—with this thorough overview .

When traveling internationally, research to find out if you need an international driving permit for your destination. If you do, get this permit in advance, as sometimes the paperwork may take a few weeks. Check to see if you need an international driving permit via this helpful article .

Learn the (local) rules of the road.

For any international travelers, you will want to familiarize yourself with the local driving rules in the country you plan to drive in advance. Doing so can help you avoid unintentional penalties and minimize the chance of on-the-road incidents.

US travelers can understand driver safety abroad by referencing this State Department page . This page provides helpful country links and outlines local driving rules—from default speed limits to signaling requirements to where to park.

Consider pre-booking an airport pickup.

Especially for international trips, if you do not feel confident about your understanding of local transportation options, make things easy for yourself upon arrival. Consider requesting your lodging to arrange a pickup for you . This reserved ride will likely be more expensive, though it will give you peace of mind that you will not get things “wrong” when you arrive.

Then, when at your destination, ask for assistance from your accommodation manager or concierge to help better explain your on-the-ground transportation options .

After an international overnight flight, our family sometimes pre-books airport taxis, as we did on a visit to Rome . When exhausted and running on empty from a long and likely sleepless flight, it is a relief to know our in-town transportation is reliably taken care of.

Know safe walking routes.

If you plan to explore a new destination on foot, familiarize yourself with safe walking paths . Research this ahead of time. Or ask once at your accommodation. The front desk staff and management, who generally live locally, are a valuable resource for sharing the best routes, areas, and times for moving around safely.

Step 7: Choose Where to Stay (Shortcuts & Resources)

Pinpointing the right location for lodging is never easy. To figure it out fast—my first stop is to use the “ Where to stay ” button on Google Hotels , which will show neighborhood-by-neighborhood descriptions and ratings for all major destinations, allowing you to quickly zero in on the right neighborhood for you to stay in. See where to find it in the quick clip below.

Alternatively, run an AI or online search on “ best places to stay in [your destination] ” and review the results. Or, reference up-to-date travel guidebooks , which generally provide a helpful point of view on the best areas to stay.

Additionally, since I find great lodging in top locations has an outsize positive impact on our travel experiences, I put a lot of effort into finding the best places to stay.  Get tips on how to do this for your lodging searches in this article .

Step 8: Decide, Save & Book the Things You Want to Do (4 Tips)

Now that you have the framework of your trip set, it is time for the most fun part—figuring out things you want to do once you get there.

Search for things to do online.

If your best trip experience includes seeing top attractions and activities, you will want to research the top things to do in a destination that best fits your interests. Run AI searches or look online for “things to do in [your destination].”

Travel blogs, social media, and sites like Pinterest or Reddit are helpful for this. Or read a guidebook  or visit Google Travel , searching your destination to get an idea about the top attractions and get recommendations for more things to see or do.

To determine what you want to do most, read reviews from fellow travelers to understand what to expect. Then, consider purchasing tickets or making reservations for the most popular attractions to avoid long queues and secure your spot.

Save your favorites.

My preferred way to keep track of things I want to do in a destination is to save them to a custom list in Google Maps . Doing this gives me quick access to my favorites on my mobile phone via my Google Maps app while traveling. I share why and how to create similar custom lists in this article .

Check out the guided activity and tour options.

Another good way to round out your research for what to do in any area is by checking out tour booking sites like Viator , Get Your Guide or Airbnb Experiences . Use them to look at the top-rated experiences for your destination. You might discover a cooking class, photo tour, guided hike, history walk, and so much more—activities that could be one of the more memorable parts of your vacation.

Ask for recommendations.

Before your trip, ask your friends, family, and acquaintances for suggestions for what to do in your planned destination if they have already been there.  T hen, when your trip is here, and you finally and excitingly arrive— connect and chat with your lodging managers, taxi drivers, tour guides, servers, and any other locals you can befriend to ask for their recommendations.

By doing this, we have learned about many things we would have missed if we did not connect with locals, like off-the-radar restaurants, event-related parades, holiday processionals, or the best spots to catch sunsets. While traveling, we value these local recommendations so highly that we often will reshape our entire plan for how we spend a day to accommodate them.

Step 9: Focus on Food - Reserve Restaurants & Learn About Local Dishes (2 Recommendations)

Does your culinary experience matter to you on vacation? I have a food blogger and cookbook author friend who makes researching places to eat and reserving restaurants her immediate third activity after booking airfare and lodging for any trip. So, if incorporating an epicurean experience into your travel is important, include the two steps below in your pre-trip planning.

Make restaurant reservations.

Search online to get a list of top eateries in your destination. Reference Google Maps, articles, blog posts, or run AI inquiries. Or ask other travelers who have been to the area recently, as they are always happy to share their favorites. Prioritize the places you want to eat and make reservations. If you cannot do this in advance online, do not sweat it. Do it in person when you arrive. Or ask your lodging for dining recommendations and assistance with booking reservations.

Learn about the food before you go.

Although international trips provide ample opportunities for new food experiences, you do not have to go far from home to indulge in regional food specialties while on vacation. For example, on a fall getaway to Door County, Wisconsin , near our hometown of Chicago, we were sure to order cheese curds, a Badger State specialty, paired with local brews.

Before your trip, search online for “best food to eat in [your destination]” to see what tops the list. On a spring trip to Rome , it was Jerusalem artichokes. When in Malta , it was a rabbit dish and many other unfamiliar foods.

Eating at different places and trying new dishes, drinks, and snacks can be one of the most memorable aspects of your travel. To get a head start, take a global tour from these food guide and cookbook recommendations .

Step 10: Create, Update & Finalize a Detailed Trip Itinerary (Resources)

Now that you have your transportation, lodging, activities, and possibly even your dining planned or loosely set, it is time to put it all down to paper.  Use an online app like TripIt to keep track of your bookings and day-to-day plans. Or go semi-old school like I do and put it in an Excel document . Since I have yet to find an app that functions exactly how I want, I created my own itinerary framework that includes all the elements I prefer.

I share this free framework  downloadable in four file types in this article . In it, I also link to more places to find free or affordable trip itinerary templates.

Then, for safety purposes , share your itinerary with family and friends so they know where you will be when you are away from home.

Step 11: Plan for Emergencies & Unexpected Situations (3 Tips)

Follow these three recommendations to help you avoid or quickly recover from emergencies and unexpected situations while traveling.

Conduct practical safety prep.

Before each trip, familiarize yourself with local emergency service numbers and healthcare facilities in your planned destination. When traveling internationally—particularly to an area at risk for conflict, know where to find your local embassy or consulate.  Additionally, ensure your family and friends know where you are going and how to reach you. If you created a detailed itinerary  share it with them. Then, continue to check in throughout the trip.

Buy travel insurance.

It is an extra expense every traveler would love to skip. However, given the cost of your vacation and what is at risk—your trip budget, your health, and your property—the cost of travel insurance should be considered an essential and non-negotiable expense, especially for international trips. Read about why to get travel insurance and where to find it in this article .

My preferred resource for buying travel insurance is InsureMyTrip.com , an online travel insurance agent and search engine that I use to shop policies from different insurers, buying from the ones with the highest user ratings.

Know what to do in case of theft.

Do you have a plan for what to do in case your wallet, phone, computer, or passport is taken or goes missing? Do you know how to protect your sensitive data? Or how to quickly replace credit cards or a phone? Or get a replacement passport so you can get home?

If not, familiarize yourself with these steps in case your phone goes missing , or read this account of a traveler who had to navigate getting her phone stolen out of her hand in Cartagena, Colombia.

Then, make front-and-back print and digital copies of all IDs, passports, credit cards, and travel insurance policies, keeping copies easily accessible in case of emergency, theft, or loss. Share copies of all items with a trusted friend or family member who can quickly send them back to you if needed.

Step 12: Packing & Prepping Your Home Before Your Trip (Resources)

Taking care to pack efficiently will make your trip a more comfortable one. Before you go, research weather conditions at your destination and plan accordingly. Make a checklist of essential items, such as toiletries, medication, electronics, and travel adapters. Pack versatile clothing items that can be mixed and matched for different occasions and temperatures. And remember a travel first aid kit with essential medical supplies.

Because I bring many repeat items every time we travel, I spent a year carefully crafting, updating, and tweaking a universal and printable packing list to reuse for every trip. Using this helps me avoid “recreating the (packing) wheel” every time I leave home, which helps save time and minimizes prep.

Access, download, and print this universal packing list , which includes a comprehensive medical kit, here .

Additionally, since I am a fan of checklists and streamlining tasks, I created a second checklist to close the house and prep for packing—that includes to-do items like buying trip-specific gear or picking up medical prescriptions in advance to avoid last-minute scrambles. Check out the list here.

Step 13: Make Your Finances Accessible on Domestic & International Trips (13 Tips)

Before you go on any trip, be sure to have a plan for how to pay for all expenses, access your cash, and use your credit cards.

On domestic trips: two tips on spending and cash.

If your getaway is domestic, this step should be relatively easy, as how you spend will be similar to what you do at home. However, there are two things you may want to consider before you leave. Getting extra cash from a local no-fee ATM and ensuring you have up-to-date logins with mobile pay apps like Zelle or Venmo.

Even in this age of high connectivity, it is still relatively easy to encounter a market vendor, fair, or pop-up snack shop that does not accept credit cards. So, you will want a cash supply handy . Doing this will help you avoid unnecessary and out-of-the-way stops at high-fee and out-of-network ATMs. Sometimes, vendors will also accept mobile payments from apps like Venmo or Zelle.

For example, during a recent domestic trip to New Orleans, our family enjoyed listening to musicians who accepted tips via Venmo, allowing us to scan their QR code and drop some cash—in appreciation of their talent and time. So, before you leave for your trip, if you use these apps, ensure you are actively logged in and can access your accounts.

On international trips: 11 tips for spending, credit cards, cash, and safety.

Prearranging and maintaining comprehensive and secure financial access requires a few more steps when traveling internationally. Here is a list of 10 things you will want to plan for:

1. Determine which credit card(s) you plan to use . Ideally, choose the one(s) that offers the lowest, or zero, foreign transaction fees.

2. If you use a mobile hands-free payment like Apple Pay, ensure your default credit card linked to your mobile payment account is the card with the lowest foreign transaction fees.

3. For travelers who do not already use a hands-free payment method like Apple Pay, consider setting it up, as it is a convenient wallet-free way to pay when traveling. Keeping your wallet tucked away may also make you less of a target for potential pickpockets who tend to mark international travelers.

4. If you plan to use a credit card while traveling internationally, process your transactions in the local currency . At the point-of-sale, avoid converting the transaction to your home currency since this often translates into a less advantageous exchange rate.

5. Know the currency exchange rate between your home and destination country before you leave home—this will help you better manage your spending and budget. Download a currency converter app like XE , to easily translate local prices to your home currency.

6. Plan to take out the local country currency from an ATM when you arrive. Some travelers prefer to pre-buy foreign currency at their local hometown bank before they leave for their trip. However, we are always comfortable doing this at the airport upon arrival.

Know which local ATMs offer the lowest fees for international visitors for cash withdrawals and which charge the highest—and should be avoided. Visit traveler forums and social media groups , or read guidebooks  to learn this information.

7. Bring back up cash in your own currency , which you can exchange in an emergency. Include small bills if you can. You can often use these in a pinch for tips and when you run short on small denominations of local cash. However, local currency—depending on the country—is generally preferred.

8. Remove all unnecessary credit , identity, membership, and banking cards from your wallet that you do not plan to use while traveling and store them safely at home. Doing this is preventative in case of wallet loss or theft. Keeping so many cards at home means you will have fewer to cancel or replace.

9. Make copies of both sides of your banking and credit cards . Keep print or digital copies accessible. For a backup— share them with a friend or family member who will be staying home and can send them to you in the event of loss or theft.

10. Have a plan for keeping your wallet and valuables safe while on your trip. Assume on an international trip, you may be a target for pickpockets. Make it difficult for would-be thieves by using secure carrying bags and backpacks with zippered pockets.

Practice never leaving your personal items unattended or on the back of chairs. If you need to set a bag down, wrap a strap securely around a leg or arm. Also, ensure all openings are fully zipped and face inward toward your body. Depending on your destination, consider sewing hidden interior pockets to pants or using money belts under clothes to keep cash and IDs secure.

Another helpful step you can take includes being aware of your surroundings and avoiding being distracted in public by your phone while traveling. It is relatively easy for a cyclist or motorcycle rider to whip by and grab an unlocked phone from unsuspecting hands.

11. Finally, before you go, move ample cash into your checking or ATM-linked account to fund your trip and to fully process automatic bill withdrawals to eliminate the possibility of overdrafts or other unpleasant financial surprises that could happen while you are away. If you do not have auto bill payments set up, pre-pay all upcoming bills before you leave.

Note: Many credit cards and banks no longer require you to alert them when you plan to leave the country as they track trip-related purchases like plane tickets, taxis, and hotel bookings.

However, check with your banking and credit card companies before you go to understand their travel recommendations and to avoid possible suspicious-activity freezes on your accounts.

This step is easy for domestic journeys, as depending on your data plan, you can ideally use your mobile phone to text and call to stay in touch like you would at home.  However, constant connectivity gets more complicated for international trips. When traveling abroad, you want to determine how you plan to use your mobile phone .

Will you stay off-network and use it only when connected to Wi-Fi? Or pay a daily network international roaming fee—up to a pricey $10 per day with networks like Verizon? Or, instead, buy a data plan from a local network using e-sim technology?

Does this feel complicated? Even to me, a regular international traveler, and others—it does also. Based on your budget and connectivity needs, you will want to figure out which way of staying connected is right for you. To decide, price out international plans from your mobile carrier and then learn more about going the eSIM route with info in this helpful article .

Once you know how you plan to stay in touch, download apps you anticipate you may need to use. When traveling internationally, this may include downloading What’sApp , a global messaging app and voice-over-IP service heavily used outside of the United States.  When abroad, I frequently use this app to communicate with lodging contacts and tour guides and to confirm reservations.

Additionally, be sure to have all lodging or tour booking apps downloaded and updated on your phone. You will want to access the messaging functionality within apps like Airbnb, Booking.com, or other hotel apps, which you may need to use to send and receive communications.

Hands-down, thorough travel research is the key to a stress-free adventure. By taking time to gather destination information so you can make informed planning decisions, you can ensure a smooth and memory-making journey.

From researching your destination and finding the best deals to understanding local customs and preparing essential travel documents, each step plays a vital role in creating your best travel experience.

So, before you embark on your next adventure, check off the items on this ultimate travel research checklist. With research and planning complete, you can explore the world with confidence and peace of mind. The more you know, the better prepared you will be for any unexpected challenges or opportunities that come your way. Happy travels!

How to Create an Event Itinerary for Attendees and Event Organizers

Conference Agenda

When crafting an event itinerary, you’ll need to consider the experience of both your attendees and those involved in managing your event , including your event planning team, vendors, sponsors, exhibitors, and on-site staff.

This means that as a planner, you’re responsible for multiple event itineraries – a “back-end” itinerary for planning and management and a “front-end” itinerary created for attendees.

What Is an Event Itinerary?

As we’ll be looking at two different types of event itineraries, let’s get clear on the difference between the two.

An attendee event itinerary is used to inform event attendees of important agenda details like the event date(s), location, session and activity times, and scheduled transportation. On the other hand, an event itinerary for planners and staff contains scheduling details used to organize and execute the event, such as timelines for speakers and exhibitor setup times.

What Are the Essential Elements of an Event Itinerary?

Mobile Event-App als Orientierungshilfe

Events can be huge revenue drivers, which is why it’s so critical to get them right. According to a recent study conducted by Research Dive, the global event industry is projected to generate $1,457.2 million in revenue by 2028, rising at a CAGR of 23.1% from 2021-2028.

As a planner, part of your job is undoubtedly to rake in as much revenue as possible with the help of your events. This means finding ways to boost your time management and operate more efficiently, cutting out as many uncertainties as possible by planning for everything, and making your event as enticing as possible to attendees.

The best way to do all of this? Crafting a detailed event itinerary. If done right, your itinerary can be a comprehensive guide to your event – a place for staff and attendees alike to have all (or most) of their questions answered.

Essential Elements of Event Management Itineraries

The essential elements of an event itinerary for those managing the event include an event schedule detailing the times, locations, and responsibilities for all vendors, venue staff, planning team staff, speakers, sponsors, and exhibitors.

In your event management itinerary, you’ll outline elements like:

  • Content management details for speakers and presenters
  • Event logistics instructions
  • Event management roles and responsibilities
  • Critical setup and timing details for vendors, exhibitors, and sponsors
  • Equipment and supplies needed for each activity, session, etc.
  • Travel information and accommodation details

Essential Elements of Attendee Itineraries

Your attendee itinerary will look much different than your behind-the-scenes itinerary. The essential elements of an event itinerary for attendees include an event agenda that’s easy to access, understand, and update so that if session times, locations, or speakers change, your attendees always know what to expect and where they need to be.

In your attendee itinerary, you’ll outline elements like:

  • Critical scheduling information, such as check-in times, session agenda, etc.
  • Local transportation and accommodation information
  • Special activities during your event
  • Details regarding accessibility

A great way to make your event calendar accessible and flexible is to leverage mobile event apps to give your attendees constant access to up-to-date itinerary details.

How to Use Your Calendar for Travel

There are many benefits to traveling , such as:

  • Travel may reduce heart disease risk, according to research .
  • One of the most significant benefits of traveling is stress relief. Even a short vacation can help reduce stress, according to a study of 40 German middle managers published in July 2018 in the International Journal of Environmental Research and Public Health .
  • Regular travelers (defined as trips at least 75 miles from home) report being 7 percent happier than those who travel rarely or not at all, according to research on a Taiwanese population published in January 2021 in the journal Tourism Analysis .
  • It may be helpful for you to travel if you’re feeling burned out. Social scientist Adam Galinsky has found that travel and creativity go hand-in-hand, according to his study at Columbia University .
  • Traveling can naturally encourage more movement and physical activity if you spend most of the day at a desk.

The downside, however, is that traveling can be stressful and involve much work. Everything from flights to accommodations to activities and sightseeing needs to be planned. You can quickly become overwhelmed if you don’t have a sound system for keeping track of everything.

It’s here that your calendar comes in handy. How? When planning a trip, an organized calendar can save the day. You won’t forget anything, since you can keep track of everything in one place.

Let me show you how to use your calendar for travel in this blog post. You’ll learn how to create a travel calendar, add events, and keep an organized calendar.

Creating a Travel Calendar

Step 1: pick a calendar tool that works for you..

A travel calendar can be created with various tools. The most popular options are a physical planner, spreadsheet, or travel planning app .

  • When choosing a physical planner, ensure it has enough space for all your travel details. Additionally, you’ll need to decide whether you want a daily planner or a weekly planner.
  • Make a table in a spreadsheet listing the dates of your travel, flight information, accommodations, and activities you plan to do. Keeping track of your budget and expenses can also be done using a spreadsheet.
  • Travel planning apps offer a wide range of features. The most popular apps are Google Trips, TripIt, and Kayak Trips. Your travel calendar can be created, flights and accommodations tracked, and activities in your destination found using these apps.

Step 2: Gather information about your trip.

After selecting your calendar tool, gather all the information about your trip. You must provide information regarding your flight, accommodation, and activities.

If you have received an email confirmation of your flight, you can find it on your airline’s website. Hotels or hostels should provide information about your accommodations. In addition, you can get activity information from friends, family, and travel websites.

Step 3: Add your travel information to your calendar.

Your calendar can be updated once you have all the travel information. Every activity should be listed with the date, time, and location. If you know the cost of the activity or the organizer’s contact information, you should also include it.

Step 4: Make notes.

Remember to note anything vital as you enter travel information into your calendar. You may want to find out about the weather forecast, your activities’ dress codes, or how to get around the area.

Step 5: Review your calendar.

After you have entered all your travel information into your calendar, review it. All information should be accurate and conflict-free. Additionally, you should ensure you have enough time to accomplish all your goals.

Step 6: Share your calendar.

When you travel with others, you can share your calendar . By doing this, everyone will stay on the same page and ensure everyone is always on the same page.

Adding Travel Events to Your Calendar

It is possible to add events to your calendar in various ways. Here are some options:

  • Your calendar app will automatically display event details when you type them in.
  • You can import events from other calendar apps or websites.
  • Recurring events can include weekly business check-ins or family vacations.

The following is a general guide to adding travel events to your calendar:

  • Organize your trip by creating a new calendar. By doing this, you will be able to separate your travel events from your personal and work events
  • Put a descriptive name on your new calendar, such as “My Summer Vacation.”
  • Add events to your calendar. In addition to the event’s date, time, place, and purpose, ensure you include all the details.
  • You can add travel time to your events if you travel by plane, train, or bus. Making sure you arrive on time will help you avoid delays.
  • When you add your events, you’ll be able to add the address and phone number of the hotel you’re staying at. Any time you need to contact the hotel, this will come in handy.
  • You should also schedule meals, sightseeing, and other important events on your calendar.

Organizing your travel events begins when you add them all to your calendar. If you find it challenging to keep track of all your events, you can color-code them, create sub-calendars, or use other features.

You will be able to stay organized and make the most of your trip if you have all your travel events on your calendar.

Your travel calendar can be enhanced by adding these events:

  • When entering event details, please be as detailed as possible. By following this routine, you’ll avoid confusion and ensure that nothing important is missed.
  • Make sure your events have consistent naming conventions. You will be able to find events more easily this way.
  • Ensure your events are color-coded. Using this method makes it easy to identify the type of event.
  • Make use of a travel planning app. Organizing your trip and adding events to your calendar is made easy with many great travel planning apps.

With these tips, you can keep track of your next trip and add events to your travel calendar.

Here are some additional tips.

  • A separate calendar can be created for each destination if you travel to multiple locations. Stay organized and ensure you don’t miss anything important by keeping track of your travel plans.
  • To add travel time to your events, you can also use Google Maps. You can access Google Maps by clicking on the “Location” field when creating an event. You can enter the start and end locations in Google Maps. Your event will be updated with the estimated travel time calculated by Google Maps.
  • Your calendar can be shared with a group if you’re traveling together. As a result, everyone will be on the same page and know where and when they need to be.

Keeping Your Travel Calendar Organized

Your calendar should be organized once all your events are added to it. By doing this, you’ll avoid last-minute surprises and stay on track.

For an organized travel calendar, follow these tips:

Choose a calendar app that works for you.

Many calendar apps are available, so find one that suits your needs and is easy to use. Google Calendar , Apple Calendar, and Outlook Calendar are some of the most popular calendar apps.

Plan ahead as early as possible.

It will be easier to organize your calendar if you begin planning your trip as soon as possible. You’ll have plenty of time to book flights, hotels, and activities and coordinate everything.

Put all the details of your travel on your calendar.

The dates you need to keep track of include your flights, hotel reservations, activities, transportation, and anything else that might be important. To stay on track, ensure your calendar has as much information as possible.

Make use of colors and labels.

In your calendar, colors and labels can make it easier to see what’s happening. Depending on the type of event, such as flights, hotels, and activities, you could use a different color.

Set reminders for important dates.

As a result, you won’t miss any important deadlines or events. If you want, you can set reminders for your flights, hotel check-in times, activity reservations, and any other important event.

Sync your calendar with your devices.

By doing this, you can access your calendar from anywhere. It is even possible to sync your calendar with your phone, tablet, laptop, and even your watch.

Back up your calendar regularly.

In the event of a computer crash or other disaster, you will be able to protect your travel information. An external hard drive or the cloud are good places to back up your calendar.

Maintaining an organized travel calendar and ensuring a smooth trip can be achieved by following these tips.

In addition to these tips, here are a few others that will help you stay organized on your trip:

  • Plan your trip using a template or checklist . You’ll be less likely to forget anything if you do this.
  • Bring a printed copy of your calendar with you. You’ll need this if you don’t have access to the internet.
  • Don’t forget to bring a portable charger for your phone so that you are always able to access your calendar
  • If you take screenshots, your hotel and flight confirmations can be stored on your phone.
  • Ensure you have a backup plan in case your flight is canceled or delayed.

Staying organized and on track while traveling can be achieved with the help of your calendar. With the tips listed above, you can create a travel calendar to make your trip a breeze.

What is the best way to plan my trip using my calendar?

You can plan your trip using your calendar by creating events for each activity. The list includes flights, hotel stays, tours, and any other activities you have planned. Budgeting and expense tracking can also be done with your calendar.

When traveling, you can also utilize your calendar in many ways. Listed below are a few suggestions:

  • Make a packing or to-do list.
  • Track your expenses.
  • Book reservations.
  • Setting reminders on your calendar can help you stay on top of important tasks.

How do I add travel plans to my calendar?

Your calendar can be updated in a few different ways. For each leg of your trip, you can create an event manually. Any relevant details, such as date, time, and location, can be included.

Alternatively, you can use a travel planning tool to automatically add your travel plans to your calendar. In addition to booking flights and hotels, these tools can also assist you in making other travel arrangements.

What should I do if I plan to travel in different time zones?

You’ll need to ensure that the times on your calendar are correct for your time zone when adding travel plans. If you manually add the time zone to each event, you can do this by setting your calendar to the appropriate time zone .

How do I add travel time to my calendar events?

It is possible to add travel time to your events in some calendars. As a result, the travel time to your event will be automatically added to its start time. This can be helpful if you want to arrive on time for your appointments.

Is there a way for me to share my travel plans with others?

It’s easy to share your calendar with others. You can export your calendar to a file to share your travel plans. Additionally, you can invite other people to individual events.

How to organize travel and events for a business trip.

A well-organized business trip for your team can transform your business. It will not only pick up everyone’s spirits because it’s always fun to go on a shared adventure to a new location, but it will lead to new connections and strategic partnerships.

It’s even better if you can organize the trip around an event, either one that you’re attending or one that you’re hosting. This will help structure your trip around a clear outcome.

Business team travel planning

Here are all things that need to be done to make your trip and event profitable and fun:

Table of Contents

Arranging the Use of a Virtual Office

Many major cities have virtual offices. If, for example, you are traveling to California, consider taking advantage of the benefits of Modi virtual offices Irvine . Located in the heart of a thriving business center, it will create just the right image for your business—without the expense of setting one up from scratch. For instance, you can use services like call answering, shared office space, private furnished offices, conference rooms, and phone answering services. Everything will be set up in your company’s name.

Besides giving your team a place to work, it’s also a place where you can invite guests and build business relationships. You can use this office to manage your event, conduct business, and develop new client ventures.

Attending or Organizing the Event

If the event is something you’re attending, say an industry conference, then, your work is cut out for you—all you have to do show up, network, and learn as much as you can from the speakers and fellow attendees.

If the event is something, you’re sponsoring, then it’s best to work with an event management agency This third-party has built strategic relationships with hotels. Consequently, when you tell them about your needs, they will coordinate with the best hotels to arrange accommodation, catering, and breakout rooms for your event. In many cases, they don’t charge you a fee because they will make their money from the hotel who will share a percentage of the group booking income.

Making Travel Arrangements

Good planning is essential for success. Without it, your entire trip will be mired in chaos and confusion. As Peter Drucker once said, “Action without planning is the cause of every failure.”

So where do you begin?

First, gather up all the information that relates to your business trip: the destination , the executives who will be traveling with you, the schedule, the travel details (flights, taxis, etc), and any particular preferences you or your group might have in terms of lodging, food, etc.

Second, once you have a good idea of all the diverse elements involved start making reservations, buying tickets, booking hotels, and so on. If you’re lucky enough to be flying using a private jet charter , you can rest a bit easier knowing that all of the flight details will be handled perfectly.

Third, communicate all the travel arrangements to the executives who will be making the trip, so that everyone knows exactly when and how to prepare for it. Advanced notice will also give you room to manage any surprising scenarios or any change of travel or accommodation plans.

In making your travel arrangements, here are 7 things that you should keep in mind:

  • The basic objectives of the business trip and the event.
  • How much to budget for the trip.
  • If your company organized similar business trips in the past, think about what you can learn from the experience. If you had a conference, but it was poorly attended, then you know that you need to start selling tickets to the conference earlier.
  • The relevant personal information from all the executives who are traveling with you so that you can arrange for their tickets and accommodations.
  • All travel-related permissions. You will need to make sure that everyone has an up-to-date passport, visa, and vaccination forms.
  • In some cases, you may have to consider if your trip will need to accommodate other people—for instance, spouses, secretaries, attending physicians, etc.
  • Trips to and from airports are essential to get right so that everyone stays together and travels as a group, or at the least in a coordinated way to your chosen destinations. Also, gather as much information as possible about travel related issues, for instance, business protection basics in the event of an accident , and frequent flyer miles.

In conclusion, organizing travel and events for a business trip involves a lot of details. In order to coordinate everything well, it’s necessary to start planning months ahead.

Frequently Asked Questions

1) what are the subtypes of itinerary templates.

There are itinerary templates for events, vacations, conferences — you name it! You can use travel itineraries — which include information about flights, hotels, tickets, vacation packages, and more — as well as business itineraries for conference schedules or meetings. Plus, you can fully personalize your itinerary for any trip you’re planning, whether that’s a road trip, a bachelor party, or an all-inclusive cruise.

2) What is the purpose of using an itinerary template?

The purpose of an itinerary template is to provide a structured plan for a trip or event. It outlines all the details of the event, including activities, schedules, budgets, to-do lists, and more. An itinerary template can help you organize and streamline the planning process both more productive and enjoyable, whether you’re putting on a conference or a small event for friends.

3) What are the benefits of using an itinerary template?

An itinerary template helps with time management and organization. It helps you lay out the details of an engagement in advance, saving you time and hassle once the event actually happens. Itinerary templates are also great for communicating details with others, as you can send them out to everyone involved to communicate logistics. Lastly, itinerary templates are useful when budgeting for expenses because you can estimate and track costs in one place.

4) How do I create an itinerary template?

You can create an itinerary by heading over to Jotform’s PDF templates library. We have you covered with multiple itinerary templates to choose from — no matter your needs. Simply pick the template that works best for you, click Use Template, and customize it in our PDF Editor. When you’re finished, you can share it via email or link or embed it in your website in seconds.

5) What information should be included in an itinerary template?

Generally, an itinerary template should include the major elements of the event or trip. For example, if you’re making a flight itinerary, make sure to include flight numbers, boarding times, terminals, and confirmation numbers.

If you’re making a conference itinerary, list the conference name, date, start time, location, sessions, and other details. Include a day-by-day or hour-by-hour breakdown of the schedule, depending on the length of your event.

The best way to construct an itinerary is to step back and think about all the information you would need to know as a traveler or attendee. This could include everything from budget and accommodation to meals and contact information, so take time to flesh out all the details.

6) Can I customize an itinerary template to suit my specific needs?

The beauty of the itinerary template is that you can adjust it to meet your requirements seamlessly. With Jotform’s intuitive drag-and-drop PDF Editor, you can rearrange sections, add new form fields, adjust fonts and colors, drop in your own logo, and much more. When you’re done, you can share it through email or a link with anyone who needs it. Plus, our mobile-friendly PDF itineraries work great on any phone, tablet, or computer, so your users can access them even if they’re traveling without a great internet connection.

7) Where can I find free itinerary templates online?

You can find free itinerary templates with a quick Google search. But, while there are many options to choose from, not all free itinerary templates are created equal. If you have to download a template as a Word document or PDF, editing them can get tricky, depending on which operating system or tools you use.

Jotform’s itinerary templates are completely free to use and easy to edit. Just choose the one you want to use, customize it in our PDF Editor, and you’re ready to go. You can create and share a robust itinerary in minutes.

8) How do I add accommodations and transportation details to an itinerary template?

You can add accommodation and transportation details to your itinerary template by replacing the text from the sections in one of our templates or by adding new sections to your itinerary.

You can include handy charts, color-block your sections, or create a snappy form design to make sure your users can absorb the information at a glance. To make your accommodation and transportation details even more organized, consider using standard formatting, bullet points, charts, and clear headings to enhance readability.

9) Can I share my itinerary template with others?

Yes! An itinerary wouldn’t be very useful if no one could see it except you — which is why Jotform has made this part as easy as possible. When you’re finished customizing your template, navigate to the Share button in the upper right corner of the PDF Editor. From there, you can create a link to share your document or invite users by email. You also have the option to grant private or company access, adjust permissions, and more.

10) Is it possible to create an itinerary template for multiple destinations?

Yes, you can create an itinerary template that covers multiple destinations for an event or trip! For example, if you’re organizing a company retreat with multiple destinations (think Chicago to New York or Paris to Berlin), you can create schedules for each location in the same itinerary. Put your stops on different pages or create separate charts with their activities. This way, you won’t have to send multiple documents to attendees.

11) Can I integrate a map or GPS coordinates into an itinerary template?

You can add a map as an image in your itinerary template to help guide attendees. You can also include information like the name and GPS coordinates of the destination in the template to make sure your attendees know where they’re headed.

12) How can an itinerary template help me stay organized during my trip?

An itinerary template can help you stay organized during your trip by eliminating unknown factors that may cost you time and money. For instance, if you book a bus to your day trip destination in advance, you won’t have to run around trying to find a way there the day of. An itinerary also helps you keep all the details about your day in one place so you won’t have to dig through your email searching for tickets or schedules.

One of the biggest perks of an itinerary is that it helps you manage your budget. Planning your budget in advance helps you estimate how much you’re going to spend and when, which also helps you add contingency funds should any surprises pop up.

And speaking of surprises — believe it or not, an itinerary can actually help with flexibility as well! Any trip will throw unexpected changes at you, but having your plans in one place will make it easier to rearrange specific activities or incorporate more time into your schedule with ease.

13) Are there any best practices for using an itinerary template?

There are several best practices that will help you get the most out of your itinerary template. The first one is to customize the template to your needs — adding all the details specific to your event will help you cover all your bases. Keep the information concise, so attendees don’t feel overwhelmed by too much text on the page.

It’s best to use a digital format such as a PDF for your itinerary, since paper itineraries are easy to lose or destroy. Be sure to share your document with all your attendees, so no one’s in the dark — and be sure to update it if any last-minute changes pop up!

14) How can I optimize my itinerary template to maximize my time during the trip?

Every itinerary will be different, depending on what each person enjoys. If you’re someone who likes to account for every minute of a trip, you can make a really robust itinerary. On the other hand, if you prefer to have some wiggle room, you can schedule one or two activities and leave the rest of your time to mosey around town.

In general, you can optimize your itinerary by prioritizing a couple must-see destinations and grouping activities together based on location. For example, if you’re headed to Barcelona and you’re most excited to see the Sagrada Familia, then you should plan a day in that part of town — and if a restaurant you wanted to try happens to be nearby, you can group those activities together.

It’s also wise to research transportation options in advance, because getting from one place to another often takes up the most time on trips. Be mindful of how long it’s going to take you to get somewhere — you might find it’s better to snag a cab than brave the train.

Lastly, plan in some buffer time and go with the flow! Nothing will ever go perfectly on a trip, but remember that it’s just as much about the journey as it is about the destination.

A charter bus rental—ideal for any trip or occasion.

When you're planning a group outing, there are lots of details to handle. Perhaps the most important, though, is how you'll get there and back. When you have problems with your transportation, it can leave a cloud on the entire trip. Make it easy and have a great trip with a charter bus rental from US Coachways.

At US Coachways, we help groups and group leaders secure luxury coaches for any type of trip or event, including:

  • Day trips — such as games, rallies, festivals, shopping junkets, casino adventures, museums and historical attractions, amusement parks, concerts and Broadway shows
  • Parties — Weddings, birthdays, anniversaries, retirements, graduations, engagements
  • Church functions — including mission trips, community outreach, choir tours and youth group outings
  • Conventions — conferences, seminars, training, team-building exercises and other company/corporate events
  • Family reunions — destination trips, picnics, day and overnight trips
  • School trips — including athletic competition, prom and graduation after-parties, club and class outings, and arts and cultural affairs
  • Sporting events — from professional and college games to motor car races

Because of our vast network of charter bus service providers, we have the capability to handle short notice bookings with little difficulty. We have extensive experience providing comprehensive shuttle services for events, including airport transportation . We have also provided a wide range of ground transportation services to municipal, state and federal governments and their agencies.

Why You Want a Charter Bus for Your Group Trip

There are many great reasons to choose a charter bus for any type of group travel:

a trip event

  • It's safe and secure— You'll have a professional driver at the wheel and there's limited access to the bus.
  • You'll have choices— You won't have to choose from a handful of prepackaged itineraries. You can go where you want to go when you want to go.
  • You can depend on a charter bus— Cancellations and delays are virtually unheard of with a charter bus.
  • You'll ride in comfort— The seats are big, with lots of leg room, and there's no middle seat. The aisles are wide and you can always get up and move around.
  • Everyone gets to enjoy the trip— With most forms of group travel, someone has to be in charge, keeping an eye on the GPS, watching the clock, looking for parking and making certain everyone arrives at your meeting place. With a charter bus, your driver will handle all the details.
  • You won't have the hassles that come with other types of travel— Because you'll ride on the same coach at all times and your luggage will go with you, you won't have concerns about missed connections or lost bags. There's no TSA security checkpoint, so you won't have to worry about what you bring, take your shoes off or empty your pockets. There's no such thing as "bus mode" for your phone, either. You can stay connected at all times.
  • Your bus can serve many purposes— It's not just a way to get you there and back. It can be a meeting room, letting you prep employees, give last minute instructions or create opportunities for group fun. It can also be a quiet place for some down time during a busy trip.
  • You'll have access to the HOV (high occupancy vehicle) lanes— You'll have less risk of getting stuck in traffic.
  • It's a cost-effective way to travel— On a charter bus, you'll share many of the costs of the trip with fellow passengers.
  • It's environmentally friendly— You'll put fewer vehicles on the road when you travel together on a charter bus. That lowers your carbon footprint.

At US Coachways, we bring more than 30 years of experience to charter bus rental customers across the country. Go to our online Cost Calculator to get a free quote on the cost of a charter bus rental. Call us at 1-855-287-2427 to speak with an experienced customer service agent.

Frequently Asked Questions about Charter Bus Rentals

  • How will I know that I have the right coach for my group?
  • At US Coachways, we understand that every group has different needs. We'll look at the details of your trip—how many people are traveling, how long you'll be on the road, what you'll be bringing or taking back, and any special needs of your passengers. Then we'll work with our vast national network of service providers to find the bus that best meets your needs. If you're traveling with a small-to-midsized group, the mini-bus is a great option, with seating for 24 to 35 guests and plenty of space for luggage and personal items. For larger groups, the full-sized bus is optimal, holding up to 57 passengers comfortably. Multiple bus rentals are always an option.
  • How much will it cost to rent a charter bus?
  • The total expense to rent a charter bus varies, based on a number of factors:
  • How long you'll be gone—If you expect to go and come back on the same day, you'll either be charged by the mile or by the hour (expect a minimum charge). If you're staying overnight, you'll customarily pay by the day.
  • How many people are going—That determines the size of your coach. As a general rule, the larger the bus, the greater the cost.
  • When and where you'll be renting the bus—The cost of a charter bus rental can fluctuate seasonally. For example, there's a greater demand for charter bus rentals in Florida in January than in July, so you can expect to pay more for a midwinter trip. In addition, it's usually a little bit more expensive to rent a bus in a metropolitan area than the suburbs or a rural location.
  • The day of the week—Because of demand, it's generally more expensive to rent a charter bus on Friday, Saturday or Sunday than other days.
  • The amenities you'll need—Most modern charter buses have Wifi, DVD players, stereos, PA systems and charging stations (for your devices) as standard features. If you need other conveniences, such as on-board bathrooms, you will probably pay more.
  • Any additional fees incurred—You will be responsible for all tolls, parking fees, permits and other costs of travel. In addition, if you stay overnight anywhere, you will typically be expected to pay for accommodations for your driver.
  • For a free estimate of the cost of a charter bus rental, go to our online Cost Calculator.
  • What is your policy with respect to the consumption of alcohol on the bus?
  • US Coachways allows the consumption of alcoholic beverages, provided you notify us of that intent in advance. Your driver will always have the discretion to terminate or suspend alcohol consumption. In addition, all passengers on the bus must be of legal drinking age.
  • Will you make multiple stops on the same trip?
  • Absolutely. That's one of the most attractive features of a charter bus rental. You tell us when you want to go, where you want to stop, how long you want to be there and when you want to return. In many instances, we can even make additional unscheduled stops without a problem.
  • What are the payment options?
  • US Coachways accepts a number of forms of payment, including credit cards, check, cash and purchase orders.
  • How much luggage can we bring?
  • That varies, based on the size of the bus and the number of people traveling. Your booking agent can help you determine how much each passenger can bring and whether you need a bigger bus.

The Smart Decision—Make Your Reservation with US Coachways

When you choose US Coachways as your charter bus rental provider, you'll have:

  • The flexibility that comes from our three decades in the business—The strong relationships we have forged with vendors nationwide give us access to more than 2,000 coaches. That gives us the agility to customize a trip to meet your needs. In addition, last-minute and real-time modifications are easier to accommodate.
  • Unmatched purchasing power—We set up an average of more than $55 million in charter bus bookings every year. That gives us local market knowledge, vendor loyalty and the ability to secure competitive pricing.
  • A dedicated service team—You'll work with the same people throughout your trip
  • Access to the US Coachways Trip Management Portal—This online tool lets you view data from all your trips in a single location, including invoices, itineraries and other information.
  • Full dispatch services 24 hours a day, seven days a week
  • A GSA (General Services Administration) approved service provider—We are certified to offer charter bus services to federal agencies and organizations, and have set up itineraries for the FBI, FEMA, the Marines and the United States Navy, among other entities.

Nearly 44 Million Travelers Leaving Town for Unofficial Start of Summer

Second highest memorial day holiday travel forecast since aaa began tracking in 2000.

a trip event

WASHINGTON, DC (May 13, 2024) – AAA projects 43.8 million travelers will head 50 miles or more from home over the Memorial Day holiday travel period*. This year’s total number of travelers is a 4% increase over last year and comes close to matching 2005’s record of 44 million Memorial Day travelers.

“We haven’t seen Memorial Day weekend travel numbers like these in almost 20 years,” said Paula Twidale, Senior Vice President of AAA Travel. “We’re projecting an additional one million travelers this holiday weekend compared to 2019, which not only means we’re exceeding pre-pandemic levels but also signals a very busy summer travel season ahead.”

a trip event

Road trips are expected to set a record. AAA projects 38.4 million people will travel by car over Memorial Day weekend, the highest number for that holiday since AAA began tracking in 2000. The number of drivers this year is up 4% compared to last year and 1.9% higher than in 2019. Traveling by car is appealing for many people because of the convenience and flexibility it provides. AAA car rental partner Hertz says Orlando, Denver, Atlanta, Boston and Las Vegas are the cities displaying the highest rental demand , with the busiest pick-up days projected to be Thursday, May 23 and Friday, May 24.

This Memorial Day weekend drivers can expect similar gas prices as last year when the national average was roughly $3.57.  Pump prices rose this spring but have held somewhat steady in recent weeks. Prices may creep higher as the summer driving season gets underway. The wildcard remains the cost of oil, and unlike last year, there are now two wars – in the Middle East and Ukraine – that could roil the oil market.

Airports are bracing for a spike in travelers. AAA expects 3.51 million air travelers this holiday weekend, an increase of 4.8% over last year and 9% jump compared to 2019. This will be the most crowded Memorial Day weekend at airports since 2005, when 3.64 million flew for the holiday as the travel industry finally rebounded post 9/11. This Memorial Day weekend, air ticket prices are comparable to last year. AAA booking data shows a 1% to 2% increase in prices for domestic flights. Several factors play into how much travelers pay for airfare, including destination, number of stops, and fare class. For example, passengers who book nonstop flights with seat selection and carry-on bags included will likely pay more than those who select basic economy with a layover.

Nearly two million people are expected to travel by other modes of transportation, including buses, cruises, and trains. AAA projects 1.9 million people will take these other modes of transportation, an increase of 5.6% compared to last year. “This category took the biggest hit during the pandemic with fewer people taking public transportation or not cruising at all,” Twidale said. “Now – five years later – we’re back to 2019 numbers. INRIX , a provider of transportation data and insights, says drivers leaving Thursday or Friday should hit the road early to avoid mixing with commuters. Travelers going back home on Sunday or Monday should avoid the afternoon hours when return trips will peak.

“Travel times are expected to be up to 90% longer than normal. Travelers should stay up to date on traffic apps, 511 services, and local news stations to avoid sitting in traffic longer than necessary,” said Bob Pishue, transportation analyst at INRIX.

Holiday Travel Forecast Methodology

In cooperation with AAA, S&P Global Market Intelligence (SPGMI) developed a unique methodology to forecast actual domestic travel volumes. The economic variables used to forecast travel for the current holiday are leveraged from SPGMI’s proprietary databases. These data include macroeconomic drivers such as employment, output, household net worth, asset prices, including stock indices, interest rates, housing market indicators, and variables related to travel and tourism, including gasoline prices, airline travel, and hotel stays. AAA and SPGMI have quantified holiday travel volumes going back to 2000.

Historical travel volume estimates come from DK SHIFFLET’s TRAVEL PERFORMANCE/Monitor SM . The PERFORMANCE/Monitor SM is a comprehensive study measuring the travel behavior of U.S. residents. DK SHIFFLET contacts over 50,000 U.S. households each month to obtain detailed travel data, resulting in the unique ability to estimate visitor volume and spending, identify trends, and forecast U.S. travel behavior, all after the trips have been taken.

The travel forecast is reported in person-trips. In particular, AAA and SPGMI forecast the total U.S. holiday travel volume and expected mode of transportation. The travel forecast presented in this report was prepared the week of April 15, 2024.

*Memorial Day Holiday Travel Period

For this forecast, the Memorial Day holiday travel period is defined as the five-day period from Thursday, May 23 to Monday, May 27, 2024.

AAA Travel Agent Survey Methodology

AAA clubs distributed surveys to a random sample of their travel agents between March 18 and March 29, 2024 to understand recent traveler trends over the past 60 days. 186 AAA agent responses were collected from 13 AAA clubs (representing 97% of AAA membership overall as of February 2024).

Biden Trips on Stage at Fallen Officer's Event

P resident Joe Biden appeared to trip on stage on Wednesday while attending an event in Washington, D.C., to honor fallen officers.

The video, taken from a distance, shows the president heading to the stage at the event commemorating National Peace Officers Memorial Day, which honors law enforcement officials who died in the line of duty, and slightly stumbling as he walks up one of the stairs. A photograph taken close to the stage as Biden walked up the stairs in front of the U.S. Capitol building appeared to show the stumble, as well.

RNC Research, an account run by the Republican National Committee, shared the video of the incident on X, formerly Twitter , and wrote, "Biden trips (again) as he's led on stage at the national Peace Officers Memorial Service."

The president's age has become a point of concern among American voters in anticipation of his expected rematch against former President Donald Trump in November. Biden, who is 81 years old and will turn 82 about two weeks after the general election, has faced an onslaught of criticism by Republicans , Democrats and independents based on his age and whether he is fit to serve another four-year term.

Newsweek reached out to the White House via email for comment.

A number of other social media users also shared the video, such as The Post Millennial, which wrote, "Biden trips as he goes on stage at the National Peace Officers' Memorial Service."

X user @MAGAMichelleS69 also shared the video and said, "Biden trips, yet AGAIN. What an embarrassment."

This is not the first time Biden has tripped while attending public events in the past few years. In February, Biden was seen on video tripping twice while walking up the stairs to Air Force One, including after a meeting with Ukrainian President Volodymyr Zelensky in Warsaw, Poland.

"VIGOR: Biden almost trips (twice) as he boards Air Force One — despite using the short stairs to avoid tripping," RNC Research said in a post on X at the time.

The president also fell on stage in June 2023 while attending a graduation ceremony for the U.S. Air Force Academy in El Paso County, Colorado.

Biden previously issued a statement honoring fallen officers in commemoration of the holiday: "On Peace Officers Memorial Day and during Police Week, we recognize the incredible courage of our Nation's police officers and honor the fallen heroes, whose ultimate sacrifice we can never repay."

State Department issues worldwide alert, warns of violence against LGBTQ community

By Margaret Brennan , Andres Triay , Nicole Sganga , Olivia Gazis , Camilla Schick , Sam Vinograd

May 17, 2024 / 6:11 PM EDT / CBS News

The State Department on Friday issued a worldwide caution security alert, warning of "the potential for terrorist attacks, demonstrations, or violent actions against U.S. citizens and interests."

The threat warning is a result of intelligence citing threats by ISIS against Pride events in parts of Europe, three sources told CBS News.

The State Department bulletin cites "increased potential for foreign terrorist organization-inspired violence against LGBTQI+ persons and events." The last such global threat warning was issued in October 2023.

Friday's alert follows one from the FBI and Department of Homeland Security last week that warned of the "potential targeting of LGBTQIA+-related events and venues."

"Foreign terrorist organizations or supporters may seek to exploit increased gatherings associated with the upcoming June 2024 Pride Month," it said.

June is Pride Month with events and celebrations in much of the Western world, including the U.S.

While the State Department bulletin is meant for overseas travel, there is concern about a domestic threat from ISIS, two sources told CBS News.

An unclassified intelligence bulletin obtained by CBS News and dated May 10 says, "Since January 2024, ISIS has successfully conducted external operations in Iran, Russia, and Turkey; called for attacks against the West; and has promised to exact revenge on its enemies, which could include the LGBTQIA+ community."

In May, the Joint Counterterrorism Assessment Team — which includes inputs from FBI, DHS and the National Counterterrorism Center — also issued  guidance  on violent extremist attacks, plotting and messaging against the LGBTQIA+ community. That document flagged an incident from October 2023 in which a user of a well-known U.S. video game company who publicly swore allegiance to Hamas and ISIS posted videos calling for such attacks. The guidance urged greater engagement between the LGBTQIA+ community and public safety officials.

The last significant ISIS attack was in March in Moscow, Russia.

"We continue to work with our partners to evaluate the threat environment, provide updates to the American public, and protect our homeland. We urge the public to stay vigilant and to promptly report suspicious activity to their local law enforcement," a DHS spokesperson said in a statement Friday.

US security alert warns Americans overseas of potential attacks on LGBTQ events

  • Copy Link copied

WASHINGTON (AP) — The State Department renewed a global security warning Friday for Americans overseas, adding to it that LGBTQ people and events in particular face an “increased potential for foreign terrorist organization-inspired violence.”

The alert is a standard renewal of travel advice telling Americans to exercise increased caution against possible attacks by violent extremist groups while they are overseas. However, the last alert — issued in October — didn’t mention the increased threats to the LGBTQ community.

The global notice came three days after the FBI and Department of Homeland Security issued a similar public warning that armed foreign extremist groups or their followers may target events and venues linked to June’s Pride month.

U.S. officials released no details of the threats that are prompting the warnings. But some countries recently have passed anti-LGBTQ laws, including one the Iraqi parliament approved late last month that would impose heavy prison sentences on gay and transgender people .

A Uganda court upheld a law last month that allows the death penalty for “aggravated homosexuality” and up to 14 years in prison for a suspect convicted of “attempted aggravated homosexuality.”

Both have drawn harsh criticism from the U.S. and others around the world.

The State Department says U.S. citizens abroad should stay alert in places frequented by tourists, including at Pride events, and pay attention to the agency’s updates on social media.

Pride month , held in June in the U.S. and some parts of the world, is meant to celebrate LGBTQ+ communities and protest against attacks on their gains.
