Concur Travel and Expense, UC Riverside’s new travel system, will deploy campus wide on July 25, 2022.

The Impact23 program is pleased to announce the deployment of the Concur Travel and Expense system in just a few short weeks. Concur is the first system in the campus’ multi-year initiative, Impact23, to update many of our aging administrative systems. This milestone is more than eight months in the making and has involved participation from staff members and pilot departments across the campus. Concur is successfully used by many UC campuses. As part of this transition, UC Riverside will leverage features available in Concur to reduce out-of-pocket expenses and improve administrative efficiencies by upgrading the university’s US Bank Travel & Entertainment Card Program (T&E Card). The T&E Card program will transition from personal liability to a corporate-liability card program (details below).

To ensure a smooth transition for users, our Concur workgroup and our pilot departments processed various transactions to ensure a variety of scenarios are flowing through the system as expected and enabled the project team to update guidance based on lessons learned during the pilot to more effectively roll out Concur to the campus. Instructor-led training and communications will continue, with Travel Arranger training sessions available to provide UC Riverside faculty and staff with increased levels of support. Reference guides will be made available for Travelers and Approvers when Concur deploys.

Important Reminders

A transition period will be in effect to allow existing trips to be closed out in iTravel.

The iTravel system continues to be available until 9/1/2022 to process previously entered requests after Concur is deployed.

Upon go-live on 7/25/2022, all new travel requests and expense reports should be entered in Concur.

Departments should work with travelers to request new corporate T&E Cards as soon as Concur is deployed. Although current US Bank T&E Cards (personal liability) will remain active after the Concur deployment, new purchases on the US Bank personal liability cards will be restricted on approximately 10/1/2022. This date will be communicated to existing cardholders.

Who is Impacted?

All faculty, staff, students, and guests traveling on University business and individuals that support travelers on behalf of the university. Everyone who travels, has a T&E Card, or supports employee/non-employee travelers (students, guests) will need to interact with the new travel system. Please spread the word and make sure you are ready!

What are the most notable changes that will be implemented with Concur?

UC Riverside employees (or their delegate Travel Arranger) are expected to submit Pre-Trip Requests in Concur to estimate expenses a traveler may incur for all domestic and international travel and mileage-only reimbursements. An approved pre-trip request is required before an expense report can be approved. This change is considered an industry best practice and has been effectively utilized by other UC campuses. Learn more about pre-trip requests.

While Travel Arrangers can support the preparation of transactions in Concur, only employee travelers can electronically submit card requests, expense reports (travel reimbursements), and missing receipt declarations.

How do I apply for a new T&E Card?

If you travel on behalf of the university, apply for the new corporate liability T&E Card:

Who do I contact for travel assistance and guidance?

Carla, Elisha, Lorena, and Sarah are the Travel Coordinators for the unit. Their primary responsibility is to assist in the submission of travel reimbursement requests  and to provide guidelines before traveling for staying within UCR travel policy. Travelers are responsible for making their own airline and hotel reservations and entering their travel information in Concur before they travel for pre-trip approval and upon return for expense reporting.

Is pre-payment an option? 

Advance payments for foreign airfare, shuttles, registration fees, etc. may be paid with enough advanced notice (minimum 3 weeks) with a Purchase Order, via Procurement Card, or campus ghost card (airfare only), for those not eligible for the UCR T&E Card. If you personally pay these fees in advance they will not be reimbursable until after the trip has been completed.  Contact [email protected] for guidance. 

When should I submit a reimbursement?

All reimbursement requests for travel expenses are routed through Concur UCR’s online travel expense reporting system. Travel expense claims should be made within 7 days of the completion of the trip. However, claims must be made within 21 days . Once we have all necessary info and required uploaded receipts, your request will be routed for approval and it will be submitted to UCR’s Accounting Office for reimbursement. It can take up to 2-3 weeks to receive reimbursement.

What receipts are required?

Please save and submit all original receipts. Airline ticket receipts/itineraries, hotel bills, rental car receipts, registration fee receipts (any larger expense receipts provided to you electronically) are to be submitted in PDF form included as attachments with your expense report. All receipts must be itemized and show “form of payment”.  Only the cost of ACTUAL meals can be claimed for reimbursement not to exceed the maximum daily limit of $79.00. There is no “per diem” for any domestic travel.  The Concur system will indicate whether or not a receipt is required based on the category and amount. 

Can I pay for someone else's travel? 

You may NOT pay for another traveler’s expenses including hotels, meals and rental cars.  If you are planning a group travel event, please reach out to your travel coordinators for more detailed guidelines and restrictions as some shared expense exceptions can be made.

When do I need a flight comparison? 

A flight comparison must be done at time of all bookings for the following reasons :

  • If a Traveler adds additional non-business related locations or dates to the trip.
  • If a Traveler extends a business trip for personal reasons prior to or after the scheduled date of the meeting/conference.
  • If a Traveler begins or ends a trip in a location other than their home for personal reasons.
  • If a Traveler takes an indirect route to a business location.
  • If a Traveler uses a personal vehicle in lieu of flying they must also have Chair’s approval in writing.

The flight comparison must be done at the time of booking a trip to show that personal time taken did not cost the university any additional cost. Charging travel expenses to UCR when they are going to be reimbursed by a third party is not allowable.  If a meeting/conference host will be reimbursing you for your airline ticket, the traveler must prepay this and you cannot have it purchased by the university.

Can meals be claimed for 1 day trips?

Reimbursement of meals may not be claimed for trips less than 24 hours without an overnight stay (mileage only).  

Am I covered by University Insurance while traveling?

You should register ALL trips at the site below, even those not booked directly through Concur, prior to traveling so that you are covered by University Insurance while traveling.

Do I need to pay for parking at another UC?

If a faculty member, staff or graduate student from another UC campus comes to visit and they have a parking permit from their own campus they can show that parking permit along with their UC identification card to the parking kiosk and get a complimentary parking pass for use on UCR’s campus for the day.  This does not apply to Undergraduate students from other campuses.

Unauthorized Purchase Form

Non-Travel reimbursement requests require that you upload a completed unauthorized purchase form onto your expense report. Concur will prompt you and ask that you upload this form for your out of pocket purchase. We ask that you visit the following Google link above and fill out this form. The purchasing team will gather this information and route the unauthorized purchase form via DocuSign and will provide you with a copy for you to attach to your reimbursement request.

When an event has >10 attendees, the excel sheet linked above is the required attendee list. This document allows you to import the names directly into Concur.  This excel form features two tabs. Pay special attention to the second tab as it shows you how to properly 'code' the attendees listed.

Is it okay to submit a reimbursement request for items purchased outside of Oracle?

Out of pocket expenses should be reserved for emergencies ONLY and should not exceed $500. All out of pocket expenses are considered unauthorized purchases, regardless of the amount, and are subject to additional approvals. Note that reimbursements requests may be denied. 

To submit your request for reimbursement, please submit an expense report through the Concur application.

It is the responsibility of the traveler to understand which expenses can be reimbursed according to the University of California Business and Finance Bulletin G-28, Policy and Regulations Governing Travel and U.S. Government regulations, and to report his or her actual travel expenses in a timely and ethical manner.

Rental Car Agencies 

The University contracts with several rental car agencies from which cars may be rented at a pre-negotiated rate. These rates include collision damage insurance within the United States. Optional insurance and upgrades are NOT reimbursable and, if accepted, are at the user’s expense. Please do not select prepayment of gas/fuel. You will not be reimbursed Collision damage (or liability damage) insurance is required when traveling in Hawaii, Canada, Mexico, and all other foreign locations, and will be reimbursed by the University.

Personal Car Mileage Reimbursement 

The University reimbursement rate for personal car usage changes periodically and is based upon IRS guidelines. Expenses for fuel are included in the mileage rate calculations and will not be reimbursed separately by the University. 

If traveling by air is the normal method of travel and you will be driving instead, department chair approval is needed PRIOR to your travel and flight comparison must be done as well. An email to/from the department chair is acceptable. Please make sure to CC [email protected] on these types of correspondences.

Entertainment Expense Reimbursement Requests

All reimbursement requests are now processed directly through your Concur profile.

For reimbursement of entertainment expenses you will need to provide a list of attendees including their names, titles and relationship to UCR, the business purpose of your meeting/meal, etc. plus the original itemized receipt and form of payment .

If you wish for a spouse or guest to attend a business event we will need exceptional approval from the Dean’s office PRIOR to the event which takes 7 days. Please ask in advance whether or not alcohol is covered, each department has different guidelines. Any reimbursements requiring exceptions to policy may not be reimbursed from State General Funds or federal funds. All departments are reminded to keep expenditures for alcohol to a reasonable percentage of the total food bill. Please be prudent in spending University funds for entertainment. 

Maximum per-person expenditures for entertainment including tax and tip are:  

  • Breakfast - $31

  • Dinner - $94

Travel Reporting:

  • UCR has moved to the new Concur travel system. Please see “Travel Expense Report (UCR Employees)” on  Travel & Entertainment Policy & Procedures  for information on steps you are required to take PRIOR to your travel.
  • DO NOT PAY ON BEHALF OF OTHERS FOR ANY TYPE OF TRAVEL EXPENSE
  • All travelers must pay for their own expenses if they are to be reimbursed – no exception.
  • Itemized receipts include: the business name with address/phone number, the date of purchase, a list of each item purchased, the total cost, and method of payment - i.e., cash, credit card, etc.

Transportation :

  • Prepaid airfare can be arranged through UCR’s travel system by logging into your Concur. 
  • After setting up your Concur profile and having your pre-trip request approved, you will be able to book your flight directly.
  • You must purchase your own airfare if you are taking any personal travel days during your trip.
  • Airfare receipts must show the itinerary along with payment method.
  • An airfare comparison for the dates of UC related business will be required for all trips involving personal days; you will be reimbursed the most economical option.
  • If you purchase your own airfare, please register your trip on Risk Travel Insurance  for UC Travel Insurance.
  • DO NOT purchase airfare with frequent flyer points, credits or any other such method as these are NOT reimbursable – no exception.
  • Preferred seating and early bird check-in are NOT reimbursable unless you have a Dr.’s note.
  • DO NOT USE INTERNET VENDORS TO PURCHASE TRAVEL PACKAGES – Packages sold on websites such as Expedia or Priceline do not have itemized receipts and are not reimbursable. 
  • When purchasing your own airfare, only US (United States) carriers shall be used for travel for reimbursement using funds from Federal Contracts and Grants, per the Fly America Act . Please check with your analyst for more information on your funding sources.
  • UCR has a list of states that are prohibited for travel using state funding. The restrictions on the use of state funds applies to direct expenditures for travel-related costs (e.g., Hotel, conference registration, and transportation). Please check with your analyst for more information on your funding sources. Full list of banned states located here
  • Such expenses shall be reimbursed based on the most economical mode of transportation, and the most commonly traveled route consistent with the authorized purpose of the trip.
  • Mileage for personal vehicles is reimbursable if it is the most common mode of transportation or you have a UCR business-related reason for driving instead of flying. (Justification will need to be specified on your expense report.)
  • Charges for additional insurance or collision damage waivers for rental vehicles are not reimbursable.
  • You may reserve rental cars by logging into Concur. UCR cannot pre-pay rental cars and you will need to provide your personal payment card when paying. 
  • Gas is reimbursable for rental vehicles only.
  • UCR no longer has a shuttle agreement. Please use other transportation services like Uber, Lyft, taxi service, etc. and request reimbursement.
  • Lodging expense reimbursements are actual up to $333 per night before taxes and mandatory hotel fees and must be supported by original itemized receipts, regardless of the amounts incurred, and must be reasonable for the locality of travel. When the traveler is unable to secure lodging at $333 per night or less, the traveler must submit additional documentation such as price comparisons within the proximity of the meeting location that supports the higher lodging rate incurred. The price comparisons should be performed at the time of booking.
  • Travelers MUST be at least forty miles from their headquarters or home to be reimbursed for an overnight stay.
  • Lodging receipts must show a breakdown of the charges per night such as a hotel folio. 
  • If your Lodging receipt has any additional expenses, such as parking or meals, you must exclude these amounts from your receipt and claim in the appropriate category. 

Reimbursement Criteria:

  • Business name with address/phone number
  • Date of purchase
  • List of items purchased
  • Method of payment (cash, credit, etc.)
  • A missing evidence affidavit must be completed in Concur for missing and non-itemized receipts over $75. NOTE : You cannot use a missing evidence affidavit for Lodging and/or airfare. You must provide an itemized receipt. 
  • Any expenses under $75 will not require a receipt to be uploaded on your travel report. 
  • Conference registration
  • Rental cars
  • Airline fees such as baggage, airline Wi-Fi, etc.
  • Such expenses shall be reimbursed if you have lodged overnight. 
  • Meals paid on behalf of others are NOT reimbursable.
  • Domestic travel - Meal reimbursements are based on actual expenses. The max cap you can claim per day for meals and incidental expenses is $79.00. No exceptions. (If your lodging receipt has meals included, you will separate those expenses from your receipt and claim as part of your $79.00 per day cap.) 
  • Foreign travel - Meals and incidentals are claimed as per-diem. Per-Diem is calculated based on location which can be checked here

UCR's new Concur travel system has been implemented and all travel must be submitted in our new system.

Please note that it will take 24 hours once you are  added to  Concur to be able to access the system.​ Submit your request for access

Transitioning over to Concur will initially require you to complete 2 steps in the system prior to your trip:

  • Set up your profile (which can be done anytime even if you are not traveling yet.  However, it has to be completed before you  are able to submit an expense report and receive your reimbursement.)
  • Initiate your upcoming trip in the system prior to your travel.  It is a mandatory step and will allow the traveler to book their travel using the on-line booking tool (accessible directly in Concur), upload receipts on the go and create expense reports for reimbursement.  ( Even if you have completed travel, you will be required to do this step before you can create an expense claim .)

  • UCR receipt policy reminder - all receipts must be itemized, Include the dollar amount and method of payment. DO NOT purchase ‘Travel Packages’ that include airfare, lodging and ground transportation on one receipt, as this type of receipt is usually not itemized and not acceptable. Travel expenses should be separate to be sure the receipt meets the Accounting ‘receipt criteria’ (vendor name/contact, method of payment, itemized expenses should be on the receipt). Always pay for your own expenses. You cannot claim reimbursement for expenses paid by another person.

UC Riverside is a global institution. Our faculty, staff, and students are engaged worldwide, pursuing research and teaching activities, studying abroad, internships, service, and more. Established policies and procedures for business travel and entertainment enable the university to comply with federal and state regulations effectively. The travel and expense  policies  and procedures apply to reimbursements from all university funding sources. 

The university will reimburse individuals for reasonable and necessary business expenses; a necessary expense is one for which there exists a clear business purpose and is within university expense policy limitations. The business purpose must support or advance the university's goals, objectives, and mission and adequately describe the expense as a necessary, reasonable, and appropriate business expense.  

We encourage faculty and staff to book travel throu gh Anthony Travel , the UC Riverside-designated travel agency. When booking in Concur Travel, reservations are fulfilled by Anthony Travel, or you can book directly with an Anthony Travel agent. Booking through Anthony Travel allows your department to take advantage of discount pricing available for air, car, and hotel spending.

In addition to booking travel, card requests, travel reimbursements, and travel expense reconciliations are processed through  Concur . This is a streamlined, automated proce ss that assists the employee with expense requirements and speeds up the processing time.

UC Riverside students and guests incurring business expenses on behalf of the university are eligible for reimbursement under the same travel policy applicable to university faculty and staff.  Travel arrangements and reimbursements should be coordinated through a UC Riverside Travel Arranger and reported using an Expense Report via Concur.

Policies and guidelines for travelers.

Travel can be booked via self-service on the Concur travel page, or with the help of Business Operations.  Please follow these guidelines to ensure that your trip goes smoothly and reimbursement is received quickly.

Before You Travel

Set up your travel profile in concur.

All travelers are required to complete their travel profile in Concur before a trip. Please use this link to assist you with profile settings. If you plan to use Business Operations to assist with your travel arrangements, be sure to assign your travel specialist as a delegate in Concur, to book travel and receive emails on your behalf.

  • Every traveler must submit a pre-trip request in Concur prior to all travel. Business Operations can do this for you.
  • Fill out the travel request form and include all pertinent information and approvals and submit to the Business Operations ServiceNow Ticket System as soon as possible.
  • After Business Operations receives your signed travel request Form, the Business Operations travel specialist will enter the information into Concur and route for approvals.
  • The Concur pre-trip approval ID number will then be available for yourself and your specialist.
  • Once the pre-trip request is approved and returned to the traveler’s queue, Business Operations will create an expense report from this approved request. This is where all expenses associated with your trip must be uploaded.
  • Do not pay for other traveler’s expenses. The only exception is when co-travelers are sharing a room.
  • Personal days that will be included in your trip should be listed on the travel request form in the designated section.

Travel Management Services

Anthony Travel is UCR’s preferred travel management company.  Concur Travel is linked directly to Anthony’s on-line booking tool to purchase airfare and make travel reservations. Your travel specialist can book travel for you, using this preferred service.  Follow the steps above.

After You Travel

Whether paying out of pocket, prepaid by UCR, or paid via your personal T&E card, forms and receipts can be uploaded into Concur during or at the conclusion of your travel.

If you would like your specialist to assist you with uploading receipts, please follow the guidelines below.

Submit Itemized Receipts

Send receipts, the approved travel request form, and your pre-trip ID number to Business Operations ticket system.

  • Receipts should be original and show the name of the vendor, what was paid for (itemized), the amount of the charge, the transaction date, and method of payment.
  • Along with receipts, provide documentation to support the trip purpose and official dates (e.g., link to conference website, conference agendas, event flyers, confirmations, etc.).
  • Please note that the following information will be needed for meals under $75: vendor name, city, state, amount, and date of transaction.
  • Receipts should be submitted within seven days, and no more than of 21 days , after the completion of travel

Specify and Separate any Personal Expenses

  • Explain any issues or special circumstances regarding your trip and address any issues that may cause alerts or questions during the reimbursement process.

About Transportation

Transportation expenses are based on the most economical mode of travel on the most commonly traveled route consistent with the authorized purpose of the trip. Business travel is permitted the day before and the day after an official conference/meeting/ event (additional justification may be needed for additional travel associated with early/late start and end times). Any additional travel time will be considered personal leave. Reimbursement is based on actual expense. Original receipts are always required for airfare, rental cars, and rail. Anthony Travel is the preferred vendor for all travel bookings.

The cost of airfare should be the lowest available commensurate with the requirements and itinerary of the trip. Policy normally requires travelers to use economy class. Business class or first class may only be authorized for exceptional circumstances.

Anthony Travel is the preferred vendor for booking travel. Travel “packages” offered by Internet vendors typically do not include itemized expenses. Therefore, no business-related travel should be booked through such vendors unless the traveler has confirmed that each aspect of the package will be separately itemized (e.g., itemized hotel charges, airfare, car rental, etc.) to assure appropriate documentation and reimbursement. Do not send your reservation confirmation in lieu of an itemized receipt; a reservation confirmation cannot substitute for an itemized receipt. 

Request prepayment by submitting a Travel Request form to the Business Operations ticket system, from there your travel specialist will complete the pre-trip request in Concur for approvals.

When requesting reimbursement for airfare (upon the completion of your trip), log in to Concur and locate your approved pre-trip request. This will now be changed to an expense report.  From here you can upload itineraries/confirmations and receipts showing your name and payment info.

If funds were applied from a previous ticket or cancelled airfare, the previous itinerary/confirmation showing payment must also be submitted.  Your Business Operations Specialist is able to assist you with uploading these documents. If you would like Business Operations to assist with this task, please submit the Travel Request form , all receipts and documents related to the trip, and the pre-trip approval ID number to the Business Operations ticket system.

No extras or upgrades for travel will be reimbursed.

Vehicle Rental

A vehicle may be rented when it would be more advantageous to the university than other means of commercial transportation. UC is contracted with numerous rental agencies and Business Operations can secure a reservation for you under the UC agreements (taking advantage of additional coverage at no additional cost). Please be aware that all rental car reservations require payment at time of pick up / drop off and cannot be pre-paid by UCR. Please save copies of your receipts, they must be submitted for reimbursement after your trip.

The traveler is responsible for obtaining the best available rate commensurate with the requirements of the trip and must provide itemized receipts and any contracts associated with the expense for reimbursement.

Request a compact, economy, or intermediate model unless a no-cost upgrade is offered.

No vehicle upgrades, extra insurances, or rental add-ons will be reimbursed.

The rate for privately-owned vehicles is announced annually by UCOP and can be found here.

Pre-trip approvals are required for ALL reimbursements including mileage.  Business Operations can help you with this.  When creating your Concur travel profile, add your travel specialist as your delegate to book travel and receive emails on your behalf.  After this step is complete, fill out the Travel Request form and submit the approved form to Business Operations.

Mileage shall ordinarily be computed between the traveler's headquarters (UCR campus for most) and the common carrier or destination. Expenses for travel between the traveler's residence and headquarters (commuting expense) shall not be allowed. However, mileage expenses may be allowed between the traveler's residence and the common carrier or destination if university business travel originates or terminates before or after the traveler's working hours, or if travel originates or terminates during a regularly scheduled day off.

When reimbursement for mileage is requested in lieu of airfare, accounting will only reimburse the method of travel considered to be the most economical.

Parking/Shuttle/Taxi/Tolls

No valet parking will be reimbursed unless it can be verified that it is the only parking option available on-site.

Submit receipts to support reimbursement for these expenses.

About Lodging & Meals

Pre-trip requests are required for all reimbursements . Business Operations can help you with this. When creating your Concur travel profile, add your travel specialist as your delegate to book travel and receive notifications. After this step is complete, fill out the Travel Request form and submit the approved form to Business Operations.

Book your hotel reservations as far in advance as possible to ensure that a room is available and at the best rate. Pre-payment is not guaranteed for lodging. Please make your reservation and send the booking information to Business Operations, who will then look into pre-payment on your behalf.

Consider the hotel's location and whether it has a shuttle service, either of which could save taxi costs or perhaps eliminate the need for a rental car. Forgoing a rental car would also save on parking fees and gas.

Lodging expense reimbursements are actual up to $333 per night before taxes/mandatory hotel fees and must be supported by an itemized hotel folio receipt. A reservation confirmation will not be accepted. When the traveler is unable to secure lodging at $333 per night or less, the traveler must submit additional documentation (in the form of a print-out of price comparisons within the proximity of the meeting at the time of booking) that supports the high lodging rate incurred.

A traveler who is required to attend a conference where the prearranged conference lodging rate exceeds the $333 per night cap may stay at the conference hotel without exceptional approval. (effective 10/15/2017). Make sure you save documentation showing this rate was a conference pre-arranged rate to receive full reimbursement.

Actual expenses for meals and incidentals for CONUS travel will be reimbursed by actual amount up to $79/a day. (effective 07/01/2022). Please note that the following information will be needed for meals under $75: vendor name, city, state, amount, and date of transaction.

Conference Registration/Event Fees

  • Some conference registration and event fees may be paid in advance. If this is an option for your fees, please request the payment for these fees at least 4-6 weeks prior to the event.
  • Pre-trip requests are required for all prepayments. Please log into Concur travel and designate your travel Sspecialist as your delegate to book travel and receive emails on your behalf.

As soon as you know you will be traveling, initiate a travel request. You can do this before you have even booked any travel. Your request for travel must be approved before your travel or else this creates extra paperwork for our staff that will delay your reimbursement.

The last part of the form is your Chart of Accounts (COA). A typical COA in our department may look like this:

Another common option is for Fund to be "(19900) General Funds." Your Program and Project is associated with your specific fund, please confirm with your financial analyst.

Next you are asked to fill in expected expenses. You _do not have to put in detailed costs here, _you do not have to do detailed pricing at this stage. Please insert reasonable estimates within an order of magnitude . It should be relatively quick.

Click on the add button to add expected expenses.

The numerical values are not assessed during pre-approval within our department.

Click on submit request when you are done adding estimated costs. This sends the request to the department's Financial Services Supervisor. The approvals are usually completed within one business day and are often much sooner.

Please make sure to have the pre-approval completed before the trip.

Edits : if you have to change a pre-approval (e.g. to change the dates of travel), you may  recall  an approved request to edit the header . This will require re-submission and will need to be re-approved by the department's Financial Services Supervisor.

Travel Purchasing

Connexxus (travel.ucop.edu) is the central UC systemwide portal for travel purchasing and planning. You may use the platform to book travel online and automatically enroll in travel insurance.

Campus Paid Airfare

The department travel coordinator may access Connexxus to book travel that is directly billed to a campus account.

Booking Your Own Travel

Alternatively, you may book your own travel and submit expense reports on Concur.

Please be aware that any expenses paid for by federal funding is subject to the Fly America Act . This requires the use of a U.S. air carrier when possible. There are some limited exceptions.

If you are booking your own travel, you must separately register your trip for UC travel insurance . This is done through UC Travel Registration (UC Away) . You may register a new trip using the blue + (plus) button at the bottom righ tof the screen:

Concur Travel and Expense will deploy campus wide July 25

The Impact23 program is pleased to announce the deployment of the Concur Travel and Expense system in just a few short weeks. Concur is the first system in the campus’ multi-year initiative, Impact23, to update many of our aging administrative systems. This milestone is more than eight months in the making and has involved participation from staff members and pilot departments across the campus. Concur is successfully used by many UC campuses. As part of this transition, UC Riverside will leverage features available in Concur to reduce out-of-pocket expenses and improve administrative efficiencies by upgrading the university’s US Bank Travel & Entertainment Card Program (T&E Card). The T&E Card program will transition from personal liability to a corporate-liability card program (details below).    To ensure a smooth transition for users, our Concur workgroup and our pilot departments processed various transactions to ensure a variety of scenarios are flowing through the system as expected and enabled the project team to update guidance based on lessons learned during the pilot to more effectively roll out Concur to the campus. Instructor-led training and communications will continue, with Travel Arranger training sessions available to provide UC Riverside faculty and staff with increased levels of support. Reference guides will be made available for Travelers and Approvers when Concur deploys.    Important Reminders  

  • A transition period will be in effect to allow existing trips to be closed out in iTravel. 
  • The iTravel system continues to be available until 9/1/2022 to process previously entered requests after Concur is deployed. 
  • Upon go-live on 7/25/2022, all new travel requests and expense reports should be entered in Concur.  
  • Departments should work with travelers to request new corporate T&E Cards as soon as Concur is deployed. Although current US Bank T&E Cards (personal liability) will remain active after the Concur deployment, new purchases on the US Bank personal liability cards will be restricted on approximately 10/1/2022. This date will be communicated to existing cardholders.  

What You Should Know     Who is Impacted? All faculty, staff, students, and guests traveling on University business and individuals that support travelers on behalf of the university. Everyone who travels, has a T&E Card, or supports employee/non-employee travelers (students, guests) will need to interact with the new travel system. Please spread the word and make sure you are ready!  

What are the most notable changes that will be implemented with Concur?  

  • UC Riverside employees (or their delegate Travel Arranger) are expected to submit Pre-Trip Requests in Concur to estimate expenses a traveler may incur for all domestic and international travel and mileage-only reimbursements. An approved pre-trip request is required before an expense report can be approved. This change is considered an industry best practice and has been effectively utilized by other UC campuses.   • While Travel Arrangers can support the preparation of transactions in Concur, only employee travelers can electronically submit card requests, expense reports (travel reimbursements), and missing receipt declarations.    

How do I apply for a new T&E Card? If you travel on behalf of the university, apply for the new corporate liability T&E Card:  

  • Cardholders must complete the required online T&E Card training in UC Learning  
  • Acknowledge cardholder responsibilities  
  • Initiate a new online application in Concur once the system is deployed

  • Once campus availability is announced, coordinate with your System Access Administrator (SAA) to provision appropriate roles in EACS for your accountability structure

Touring the Top 10 Moscow Metro Stations

Komsomolskaya metro station

Komsomolskaya metro station looks like a museum. It has vaulted ceilings and baroque decor.

Hidden underground, in the heart of Moscow, are historical and architectural treasures of Russia. These are Soviet-era creations – the metro stations of Moscow.

Our guide Maria introduced these elaborate metro stations as “the palaces for the people.” Built between 1937 and 1955, each station holds its own history and stories. Stalin had the idea of building beautiful underground spaces that the masses could enjoy. They would look like museums, art centers, concert halls, palaces and churches. Each would have a different theme. None would be alike.

The two-hour private tour was with a former Intourist tour guide named Maria. Maria lived in Moscow all her life and through the communist era of 60s to 90s. She has been a tour guide for more than 30 years. Being in her 60s, she moved rather quickly for her age. We traveled and crammed with Maria and other Muscovites on the metro to visit 10 different metro stations.

To Maria, every street, metro and building told a story. I couldn’t keep up with her stories. I don’t remember most of what she said because I was just thrilled being in Moscow.   Added to that, she spilled out so many Russian words and names, which to one who can’t read Cyrillic, sounded so foreign and could be easily forgotten.

The metro tour was the first part of our all day tour of Moscow with Maria. Here are the stations we visited:

1. Komsomolskaya Metro Station  is the most beautiful of them all. Painted yellow and decorated with chandeliers, gold leaves and semi precious stones, the station looks like a stately museum. And possibly decorated like a palace. I saw Komsomolskaya first, before the rest of the stations upon arrival in Moscow by train from St. Petersburg.

2. Revolution Square Metro Station (Ploshchad Revolyutsii) has marble arches and 72 bronze sculptures designed by Alexey Dushkin. The marble arches are flanked by the bronze sculptures. If you look closely you will see passersby touching the bronze dog's nose. Legend has it that good luck comes to those who touch the dog's nose.

3. Arbatskaya Metro Station served as a shelter during the Soviet-era. It is one of the largest and the deepest metro stations in Moscow.

4. Biblioteka Imeni Lenina Metro Station was built in 1935 and named after the Russian State Library. It is located near the library and has a big mosaic portrait of Lenin and yellow ceramic tiles on the track walls.

6. Novoslobodskaya Metro Station  was built in 1952. It has 32 stained glass murals with brass borders.

7. Kurskaya Metro Station was one of the first few to be built in Moscow in 1938. It has ceiling panels and artwork showing Soviet leadership, Soviet lifestyle and political power. It has a dome with patriotic slogans decorated with red stars representing the Soviet's World War II Hall of Fame. Kurskaya Metro Station is a must-visit station in Moscow.

8. Mayakovskaya Metro Station built in 1938. It was named after Russian poet Vladmir Mayakovsky. This is one of the most beautiful metro stations in the world with 34 mosaics painted by Alexander Deyneka.

9. Belorusskaya Metro Station is named after the people of Belarus. In the picture below, there are statues of 3 members of the Partisan Resistance in Belarus during World War II. The statues were sculpted by Sergei Orlov, S. Rabinovich and I. Slonim.
