Guidance for Additional Nights of Lodging: 

  • Additional time at business location is required due to extension of UW business, see change/cancellation of travel plans policy
  • If lodging is reasonable the night before business - this is to be assessed and determined by department (i.e. out of state business starting at 8 AM)
  • Note: employee must return the following day as soon as they reasonably can
  • Health or Safety reasons - attach administrator approval with circumstances

Additional Lodging Guidance: 

  • Lodging is eligible for reimbursement prior to the trip. See advances & pre-trip reimbursement page . 
  • All fees are to be included into the daily rate when itemizing lodging reimbursement. 
  • Trailer/Camper -- cost of the space rental is reimbursable up to the maximum allowable per diem. Traveler is responsible for lease.
  • Leasing residential space -- cost of lease is subject to the maximum allowable per diem. If department signs the lease, they are responsible. To put responsibility on UW, lease has to go through UW Real Estate Office. For more information: https://facilities.uw.edu/unit/real-estate
  • AirBnB/VRBO -- these are considered commercial lodging facilities. Include all fees in the daily rate (cleaning fee, service fee)
  • Early Check-In/Late Check-Out - reimbursable if mandatory for UW Business, please add a business justification into the memo field and/or comment
  • Taxes on per diem overage with no exception -- lodging taxes for room rates are only eligible for reimbursement when the room rate is at/below per diem or meets one of our lodging per diem exceptions. See per diem page .
  • Resort Fees -- also known as Amenity Fees , are to be included in the lodging room rate.

Using a vehicle during UW business travel

How to determine the best option for driving on UW business, including how to book a rental or fleet vehicle, and use of a personally-owned vehicle.

Mileage reimbursement requests for roundtrips of 1,000 miles or greater must be supported by an airfare cost comparison obtained during the trip-planning process.

No vehicle-related expenses will be paid or reimbursed for unauthorized drivers.

Determining the best vehicle option

Travelers planning a trip should consider all vehicle options available and determine which is the most reasonable and cost-effective.

Personally-owned vehicles

Mileage is reimbursable when travel is required outside of the traveler’s primary worksite (commute mileage is not reimbursable in any circumstances). Mileage reimbursements must be supported by a Google Maps or Mapquest printout or screenshot.

Travelers are reimbursed at the federal government rate (UW-3019) for business use of their personally-owned vehicle.

Myth: The State’s property program will pay for vehicle repairs if there is an accident when using my personal vehicle for business travel.

Busted:  Any damages to an employee’s personal vehicle are covered by the employee’s own auto insurance, and the employee is responsible for the insurance deductible. Learn more on the automobile insurance page

Fleet vehicles

Employees have access to the University’s fleet of vehicles . Costs for using fleet vehicles, including refueling, are directly charged to a funding string provided at the time of booking.

Car rentals

The University participates in the Big Ten Alliance contract with Enterprise and National Car Rental and the State of Wisconsin (WSCA/NASPO) contract with Hertz . Eligible renters are defined as University employees with an approved Vehicle Use Agreement (VUA) on file, using the vehicle for University business.

  • Vehicle rentals are limited to midsize SUV vehicle classes and below unless a documented business need requires a larger class of vehicle.

Payment methods

Rental vehicle expenses can either be paid on a Purchasing Card , paid on a Corporate Card , or reimbursed to the traveler.

Fuel and other related costs

The cost of gasoline to fuel a rental vehicle is payable/ reimbursable . Receipts are required for all gasoline purchases, regardless of amount. Travelers are responsible for fueling the rental vehicle prior to returning it to the vendor. If a traveler fails to return the vehicle with a full tank of fuel, the cost of the vendor refueling the vehicle will not be paid or reimbursed by the University.

Additional equipment/services (e.g. GPS, satellite radio, roadside assistance protection) are not payable/reimbursable.

Insurance and passenger rules

Insurance is included with all contracted business vehicle rentals in domestic locations. See the Automobile Insurance page for more information on vehicle rental insurance and passenger rules .

Student organizations and student club use

  • Hertz: Authorized Student Drivers may use the Business Use contract. Insurance is included.
  • Enterprise/National: Authorized Student Drivers are required to use the Student Organization and Student Club booking link and are not eligible to use the Business Contract. A $15 per day surcharge is applied for drivers 18-21 years old. Insurance is not included.

Personal use of car rental contracts

Car rental discounts for personal travel are available; however, these reservations are made through a separate online portal, not through Concur. Personal rentals using the Big Ten contract do not include insurance; this can be purchased separately.

When combining business and personal use, rental vehicles can be booked through Concur.

UW System – Learn more about personal use contracts

If vehicles are not available through Enterprise, National, or Hertz, travelers can book a rental vehicle elsewhere and are not required to use Concur. Be sure to confirm any necessary auto insurance details if booking with a non-contracted vendor.

Other vehicle-related expenses

Parking is a payable/reimbursable expense for personally owned, fleet, or rental vehicles when incurred outside of a traveler’s primary worksite.

Tolls are payable/reimbursable. Toll violation fees are not.

Traffic citations, personal vehicle insurance, parking at the assigned workplace , or other expenses not supported by a UW business purpose are not payable/reimbursable.

The UW offers many opportunities for student engagement abroad. Student health, safety, and security are our top priorities. This policy outlines three important pre-departure requirements for all students traveling abroad for official academic purposes:

General questions

Is this policy new?

The policy was signed by the Provost in April 2017 and is now a formal campus-wide policy. While there has not previously been a formal policy, many UW students have been following the outlined requirements for some time. Students who study abroad through UW Study Abroad have also been meeting these requirements. This policy invites an opportunity to educate all UW students about the global resources and services available to them as outlined in this policy.

What does the policy do?

The policy outlines three distinct pre-departure requirements for all students traveling abroad for official academic purposes. Students must register their planned international travel, purchase international insurance, and request a waiver before traveling to high risk destinations. These three pre-departure requirements are critical to ensuring all students have a safe, healthy and positive academic experience abroad. The spirit of this policy is to facilitate our students’ success abroad, not create unnecessary burdens to travel abroad for academic purposes.

Does the policy extend to faculty and staff?

The policy does not address international travel by faculty and staff. Faculty and staff are encouraged to also register their travel, verify insurance coverage abroad, and work with us in reviewing high risk travel. Does this policy replace my department’s travel policy?

Regardless of existing department policy, all students are expected to comply with this University-wide policy. Please ask your department advisor for additional clarification.

Does this policy apply to me if...?

I am going abroad through UW Study Abroad.

If you are traveling with UW Study Abroad (Seattle, Bothell, or Tacoma), you will already meet these requirements. UW Study Abroad works directly with students to ensure that these policy requirements are met, and you do not need to take any additional action.

I am an academic student, but I also work as a UW employee and I am traveling abroad for my work?

I am traveling within the United States for a study away opportunity.

No, this policy only applies to international travel for official UW travel.

I am taking a short trip for an academic conference.

Yes. Students traveling abroad on short trips for academic conferences are still required to enroll and activate International SOS. There is no minimum number of days required for enrollment.

I am studying abroad through another institution or a non-UW study abroad provider.

Yes! Please contact UW Global Travel directly to discuss the unique aspects of studying abroad with a non-UW organization.

I am a graduate student on leave traveling abroad for my dissertation research.

Yes. This policy applies to all students traveling abroad for official academic purposes.

I am going abroad aboard a research vessel in international waters.

Yes! Please contact UW Global Travel directly to discuss the unique aspects of traveling internationally aboard a research vessel.

I am participating in UW performing arts abroad.

No, this policy only applies to travel abroad for academic purposes. If you would like to discuss health, safety and security abroad please contact UW Global Travel .

I am going abroad as an athlete to compete on behalf of the UW.

Yes. This policy applies to all students traveling abroad on trips that are administered/arranged/approved by the university, including travel through UW Athletics.

I am going abroad with my registered student organization (RSO).

No. International travel for or with an RSO is not considered officially sponsored by the UW unless you receive travel funds or other support from UW for this international travel. If you have questions or concerns about health, safety and security on your RSO trip, please contact your RSO advisor.

Registering travel

How do I register my planned travel abroad?

Complete the brief international travel registration process . You will receive an email confirming that your travel has been registered. Please note that registrations of trips that have already ended will not receive an email.

I am going abroad on a program with UW Study Abroad Seattle, Tacoma or Bothell. Do I need to register my travel?

No. UW Study Abroad will register your travel for you.

Should I also register with the US State Department Smart Traveler Enrollment Program (STEP)?

Yes! Register with STEP here .

Purchasing insurance

I am a graduate student-employee with the Graduate Appointee Insurance Plan (GAIP). Do I still need to purchase the Student Abroad Insurance? Yes. GAIP coverage abroad is limited and does not include important evacuation insurance coverage.

How do I enroll in UW Student Abroad Insurance?

UW Student Abroad Insurance is activated through the Travel Registration process, where you will be prompted to download and activate International SOS . It is a requirement for all independent travelers and is part of the the pre-departure process for students enrolled in an official UW Study Abroad program (faculty-led program, exchange or provider program).

How do I pay for Student Abroad Insurance and International SOS?

Your student account will be charged a fee for the insurance and emergency assistance provider, based on the length and duration of your program. For information about the fees, consult the ISOS FAQs .

How do I file a UW Student Abroad Insurance waiver request?

Submit an Insurance Waiver  in your travel registration application. Be sure to attach documentation of the proposed insurance plan including your insurance card and policy.

Who do I contact if I have any issues with the Student Abroad Insurance while abroad?

Please contact UW Global Travel by emailing [email protected] . We are more than happy to assist you.

Travel Waiver

How do I file a Travel Waiver Request?

Please fill out the Travel Waiver application, which is part of your travel registration . If your destination country requires a travel waiver, the application will automatically show up in your travel registration. UW Global Travel will be in touch with you shortly after submission.

I’m going abroad in less than 45 days. Can I still apply for a Travel Waiver ?

Please fill out the Travel Waiver application in your travel registration. UW Global Travel will be in touch with you shortly after submission to discuss the waiver process and the late request. Short notice of international travel will only be considered under exceptional circumstances.

My Travel Waiver request has been denied. Can I appeal?

There is currently no appeal process but if you have concerns about the Provost’s decision regarding your travel to a high risk destination please contact UW Global Travel directly.

UW Study Abroad

Should my planned academic travel abroad go through UW Study Abroad offices?

UW Study Abroad Seattle, Tacoma, or Bothell are the preferred offices to help students meet the pre-departure requirements outlined by the policy. Per Student Governance and Policies Chapter 102, students interested in studying in a foreign country should discuss their preliminary plans with a counselor in UW Study Abroad. UW Study Abroad has a diverse range of programs, models, and services to help students comply with the Student International Travel Policy, including Independent Learning.

What is Field Research and Independent Learning Abroad (FRILA)? How do I apply?

Wisconsin 4-H International Programs emphasizes the 4-H values of belonging and understanding through international exchange. In today’s ever changing world the skill of global citizenship becomes more and more important all the time. Help the youth in your community build bridges and connect with others from around the world!

Dear Wisconsin 4-H members, families, volunteers, and partners; 

We know that global experiences and cultural learning not only make a difference, but are critically important. Wisconsin 4-H is committed to supporting international connections and learning as part of positive youth development. With this in mind, it is difficult to share that we are pausing our current international exchange programming. Yet, this pause will allow us to build a stronger foundation for future international experiences which meet the needs and expectations of our youth, families, communities, and institutions. 

This pause will last through Summer 2024 and includes both inbound hosting opportunities and outbound travel. During this pause, our Wisconsin 4-H team is committed to strengthening and re-visioning our global citizenship programming.

We understand that 4-H international opportunities have had profound, positive impacts on many of you, and that this decision impacts youth who hoped to travel this summer and families across Wisconsin who are devoted to the hosting process. For those youth and families who are interested in international experiences in 2024, we encourage you to reach out to your school or local civic organization, as many high quality international travel and hosting options may be available.

Thank you for your understanding as we design new opportunities while building on existing experiences to ensure high quality youth development programming is at the forefront of everything we do.

If you are a new or current student and have been out of U.S. for less than 5 months, you will be asked to present the following documents to a Custom and Border Protection Officer at a Port of Entry:

  • Passport valid for at least 6 months into the future:  If your country has a special agreement with the U.S. allowing, your passport will be valid until the date of expiration.  Find the list of these countries on the U.S. Immigration and Customs Enforcement page .
  • Valid F-1 Student Visa:  Check the expiration date and the number of allowed entries on your visa. Most visas have "M" (multiple) printed under entries. This means there is no limit on the number of entries for which you can use your visa. If your visa is expired or has already used the number of entries you are allowed, you will need to renew your F-1 student visa at the U.S. Consulate/Embassy office in your home country. If you are seeking entry to the U.S. after traveling back from a contiguous country (Canada, Mexico) or adjacent islands for less than 30 days, you may be permitted to re-enter with an expired F-1 visa. See the Automatic Visa Revalidation section for more details.
  • SEVIS Form I-20 endorsed for travel by DSO:  Your I-20 needs to be authorized for travel on the 2nd page by a Designated School Official (International Student Advisor). You must plan ahead to get your I-20 signed before leaving the US. Each signature authorizes travel for one year following the signature date. For students engaged in Post-Completion or STEM Extension OPT, the signature is valid for six months. If you need a new I-20 with a new travel signature, log in to the ISSS Portal and navigate to Student Requests and Documents section and click on "I-20 Update/ Travel Authorization". Int'l Student Advisor will issue you a new I-20 with a new travel signature and you can download your new I-20 from the documents section. 
  • Evidence of Financial Resources  (optional): A bank statement, a letter from your sponsor, or a scholarship award letter. The amount should cover one year of expenses that you are responsible for as indicated on the first page of your I-20.
  • Evidence of Student Status  (optional): Print out your class schedule and unofficial transcript by accessing MyUW.

You should also have phone numbers of the UW Tacoma available in case a CBP officer needs to contact UW Tacoma to verify your student status. In that case, please contact:

  • Have the following documents available for presentation: a valid passport, a valid student visa, a valid SEVIS Form I-20/DS-2019 or DS, Customs Declaration Form CF-6059, and other recommended documents.
  • If a CBP officer asks you for your social media identifiers, you have the  option  of listing your usernames. Do not offer your passwords unless you are explicitly asked for them.
  • In extremely rare instances, a CBP officer may ask to see your phone, tablet, laptop, or other devices. If this happens, do not argue with him or her because the law currently does not protect travelers from having their belongings searched at borders. Know that anything that has been on your device is subject to search.
  • If a CBP officer refers you to a secondary inspection, this is simply because they need more time to review your documents or a database. Remain calm and be prepared.
  • If a CBP officer gives you an “Order to Appear – Deferred Inspection,” this means that you are missing an important document. It is mandatory that you go to this appointment.
  • If you have issues that the CBP officer describes as “grounds of inadmissibility,” please contact a qualified immigration lawyer.
  • Pick up your baggage at the baggage claim carousel.
  • Proceed through the CBP checkpoint and show your Customs Declaration Form (CF-6059) to the CBP officer (your baggage may be examined).
  • If your first entry to the U.S. is at Sea-Tac International Airport, you may need to drop off your baggage once after inspection, take a shuttle train to the Main Terminal Baggage Claim area, and pick up your luggage again there before leaving the airport.

When traveling to a third country (a country other than the U.S. or your home country), you are responsible for knowing whether or not you need an entry visa for that country. Below is brief information on visiting Canada and Mexico.

Visiting Canada:

  • Applications and forms must be completed electronically or submitted in-person at a  Visa Application Center .
  • Applications will be returned to you by USPS mail only, not by courier.
  • The application may take more than 30 business days. To check on application processing time, visit  this page .
  • ISS recommends students to get a WA ID card first before applying for a Canadian visa. This is because, during the application process, students will not have access to passports for ID purposes. To apply for a WA ID card, please complete the online webform for  Support Document for WA ID and Driver's License .
  • Multiple entry temporary resident visa may be valid for up to 5 years or until your passport expires, whichever comes first. The fee is $150. The fee for a single entry temporary resident visa is $75. The single entry visa may also be used for repeated entries into Canada from the U.S. within the time allowed for your stay in Canada (normally 6 months).
  • Pay close attention to all the requirements, such as requirements for those with a U.S. mailing address (refer to the  how to apply for temporary resident visa link ).

Visiting Mexico

  • Tourist cards or visas may be required for travel to Mexico. For more details, contact the Consulate General of Mexico in Seattle located at 2807 E Roy St, Seattle, WA 98102, Phone (206) 448-3526 or Email  [email protected]

If you are returning from Canada, Mexico, or one of the  adjacent islands  to the U.S. for fewer than 30 days, you may enter the U.S. with an expired F-1 visa. However, if you meet any of the following criteria, you will not be able to automatically re-validate your visa.

  • You applied for a new visa and it has not been issued.
  • You applied for a new visa and were denied.
  • You have a terminated SEVIS record indicating that you are out of status.
  • You have been outside of the U.S. for more than 30 days.
  • You are a citizen of Iran, Sudan, or Syria.

If you wish to travel using Automatic Visa Revalidation benefit, please make sure to travel with  a printout of this webpage  by U.S. Customs and Border Protection.

Federal law requires you to carry "registration" documents at all times, including your immigration documents. ISSS suggests that you keep your original immigration documents in a secure location, and carry copies of your immigration documents for day-to-day purposes. However, if you are traveling within/outside the U.S. you must carry your original immigration documents with you. Keep photocopies of all your documents in a separate location in the event your documents are lost or stolen.

If you have completed your program of study, you are allowed to remain in the U.S. for 60 days to travel within the U.S. and prepare for your departure. If you step outside of the U.S. after completion of your program of study, you are not allowed to re-enter the U.S.

Students who have graduated and applied for OPT:

While your application is pending, we advise students not to travel internationally. Once your application is  approved  and EAD card is issued, you must travel with the following documents: 

  • Passport valid for at least 6 months into the future:  If your country has a special agreement with the U.S. allowing, your passport will be valid until the date of expiration.  Find the list of these countries on the U.S. Immigration and Customs Enforcement page .  
  • SEVIS Form I-20 endorsed for travel by DSO:  Your I-20 needs to be authorized for travel on the 2nd page by a Designated School Official (International Student Advisor). For students engaged in Post-Completion or STEM Extension Optional Practical Training (OPT), the signature is valid for six months.  If you need a new I-20 with a new travel signature, log in to the ISSS Portal and navigate to Student Requests and Documents section and click on "I-20 Update/ Travel Authorization". Int'l Student Advisor will issue you a new I-20 with a new travel signature and you can download your new I-20 from the documents section. 
  • Evidence of Financial Resources  (optional but strongly recommended): A bank statement, a letter from your sponsor, or a scholarship award letter. The amount should cover one year of expenses that you are responsible for as indicated on the first page of your I-20.
  • Valid EAD  (Employment Authorization Document) Card   
  • An employment offer letter or letter of employment from your employer, internship, or volunteering site . 

Your current F-1 program will be terminated if you are outside of the U.S. for more than 5 months unless you have been authorized to study abroad. Consult with ISS if you plan to be out of the U.S. for more than 5 months.

Starting March 15, 2016, visa-exempt foreign nationals who fly to or transit through Canada will need an Electronic Travel Authorization (eTA). Exceptions include U.S. citizens and travelers with a valid visa. To learn more, visit the  Government of Canada's webpage .

When to Apply

Eligibility, steps to apply, completing the form i-765, after submitting application to uscis, after approval, change in employment, grace period, frequently asked questions.

We encourage students to watch the STEM OPT Video Series about the STEM OPT Extension to learn more about the benefit of their F-1 visa.

You can request your STEM OPT Extension I-20 from ISS as early as 90 days before your current 12-month OPT Employment Authorization Document (EAD) Card expiration date. USCIS must receive your STEM OPT extension application before your current 12-month OPT EAD Card expiration date.

  • Have F-1 visa status.
  • Currently working in a period of post-completion OPT.
  • Have a bachelor’s degree or higher degree in an  eligible STEM field (pdf).
  • Employer enrolled in the USCIS E-Verify program .
  • Job offers at least 20 hours of work per week.
  • Job is a paid position.
  • The job will provide formal training and learning objectives directly related to your qualifying STEM degree.
  • Be able to complete the  I-983 Training Plan with your employer.
  • Note: Students may participate in the STEM OPT extension program twice. To learn more about STEM OPT eligibility, please review Study in the States .

Students must request a STEM OPT I-20 from UW ISS BEFORE applying for STEM OPT with USCIS.

Step 1. Submit your STEM OPT I20 request

The request is made via your profile in MyISSS .

  • Ensure you have been maintaining F-1 status. Confirm that your 12-month OPT information is up-to-date. Check the  SEVP Portal . If anything is out of date please update that or submit a SEVP portal assistance request via the MyISSS portal.
  • Pay the  $200 STEM Post-Completion Training fee and save a copy of the receipt/payment confirmation.
  • Complete the I-983 with your employer. (review  ISS Tips for Form I-983 )

NOTE: The STEM OPT Extension I-20 request option is not accessible until 100 days before your 12-month OPT expires.

Log into MyISSS

Step 2. Receive your STEM OPT I-20 with OPT recommendation

You MUST receive a signed OPT I-20 showing the STEM OPT recommendation from a DSO BEFORE submitting your OPT application to USCIS.

Step 3. Submit your I-765 application to USCIS

Note: There have been issues with EAD cards being sent to incorrect addresses through the USCIS online application. Please read our post about the issue to ensure your EAD Card is sent to the correct address.

You are automatically granted a 6-month extension as soon as you receive a receipt for your STEM OPT Extension application from UCSIS, meaning that you can continue working as soon as USCIS has received your STEM OPT extension application.

ISS no longer reviews I-765s for students, but we do have guides for students to use when applying with USCIS.

You can continue working & travel

Your work authorization is automatically extended for up to 180 days while the 24-month STEM OPT extension application is pending. The USCIS receipt notice is documentation of the extended authorization. You can travel during your pending or approved STEM OPT extension period.

Changing Employer While your Extension is Pending

You can change employers while your 24-month STEM OPT extension application is pending with USCIS.

If you change employers, report the change to ISS through the ‘Report New Employment’ request via the MyISSS portal . In the “comments” section, explain that your STEM OPT extension application is still pending with USCIS. Regulations state that employment changes must be reported within 10 days.

Your ISS adviser will provide a copy of an updated I-20 directly to USCIS.

RFEs, Returned, or Denied Applications

If you receive a  “Request for Evidence” (RFE) , returned application, or denied application, notify ISS immediately.  Contact ISS  immediately. It may be necessary for ISS to provide a new I-20 before you can respond to the USCIS inquiry or resubmit your STEM OPT application.

Congratulations! Your STEM OPT is approved. Now what?

  • Learn the STEM OPT reporting requirements (different from 12-month OPT).
  • Mark your calendar for your deadlines to report to ISS – these can be found in your SEVP Portal.
  • A new I-20 is not required to show STEM OPT approval.
  • Keep your EAD Card in a safe place. ISS does not need a copy of your EAD.
  • Read all the information on this page about the STEM OPT period.

STEM Reporting Responsibilities

  • Submit an address and employer validation report to ISS  every 6 months  from the start of your STEM OPT.
  • Submit a self-evaluation (page 5 of  Form I-983 ) every 12 months, or when you leave a position. Review the Change In Employment section for details.
  • Refer to the  SEVP Portal  for your reporting obligations and deadlines. From your due date, ISS has an additional 30 days to submit your validation report to the government.

Submit a STEM OPT Validation Report through MyISSS.

While on STEM OPT, you must report any change in employment within 10 days of the change.

  • New employment : submit a new  Form I-983 .
  • End in employment : submit the final evaluation (page 5 of the  Form I-983 (pdf) ).
  • Change of employer’s EIN.
  • Significant reduction in compensation.
  • Significant decrease in hours per week.
  • Changes to your training plan.
  • Change in Immigration Status:  submit the final evaluation (page 5 of the  Form I-983 (pdf) ).
  • Departing the U.S.:  submit the final evaluation (page 5 of the  Form I-983 (pdf) ).

What Kind of Work is Allowed?

The government has new guidance about acceptable types of activity during the 24-month STEM Extension that is substantially different than the past guidance for the STEM Extension. All employers must be part of the e-Verify program.

Multiple Employers You can work for  multiple employers  as long as:

  • You work for each employer at least 20 hours per week
  • Each employer fully complies with the requirements of the 24-month STEM rule

Start-Ups The Department of Homeland Security has also commented that students may be employed by new  start-up businesses  as long as all regulatory requirements are met, including that the employer:

  • Adheres to the training plan requirements
  • Remains in good standing with E-Verify
  • Will provide compensation to the STEM OPT student commensurate to that provided to similarly situated U.S. workers. For instance, alternative compensation may be allowed during a STEM OPT extension as long as the F-1 student can show that he or she is a bona fide employee and that his or her compensation, including any ownership interest in the employer entity (such as stock options), is commensurate with the compensation provided to other similarly situated U.S. workers.
  • Has the resources to comply with the proposed training plan

Self-Employment, Work for Hire, and Employment through Agencies/Consulting Firms The government has commented:

“There are several aspects of the STEM OPT extension that do not make it apt for certain types of arrangements, including  multiple employer arrangements, sole proprietorships, employment through ‘temp’ agencies, employment through consulting firm arrangements that provide labor for hire, and other relationships that do not constitute a bona fide employer-employee relationship … Accordingly, DHS clarifies that students cannot qualify for STEM OPT extensions unless they will be bona fide employees of the employer signing the (I-983) Training Plan, and the employer that signs the (I-983) Training Plan must be the same entity that employs the student and provides the practical training experience.”

“Additionally,  guidance from the USCIS  states: (3rd parties)…may not, however, assign or contract out students to work for one of their customers or clients, and assign, or otherwise delegate, their training responsibilities to the customer or client.”

Volunteer and Uncompensated Activity The government has commented:

“DHS carefully considered whether to allow volunteer positions to qualify under the STEM OPT extension program but has  decided against permitting such arrangements . … Requiring commensurate compensation for F-1 students — which does not include no compensation — protects both international and domestic students and ensures that the qualifying STEM positions are substantive opportunities. . . .”

Employer Noncompliance

f you believe your STEM OPT employer is not complying with the terms and conditions of the 24-month STEM OPT extension regulations, the Form I-983 instructions, and the completed Form I-983 on file with ISS, you may:

  • Contact the Student and Exchange Visitor Program at the U.S. Immigration and Customs Enforcement (ICE) by following the instructions found on  ICE.gov .
  • Report violations through this  Homeland Security Investigations tip submission form

What happens if your EAD card has incorrect information on it?

  • Wait to receive a job offer so you can show your EAD to your employer. The correction process may require you to mail the incorrect EAD to USCIS. Ideally, you should wait to request the correction after your employer has copied your EAD for hiring purposes.
  • To correct the EAD, submit a request through the USCIS website to correct a typographic error.

Lost EAD Card

Sometimes students lose their EAD cards either in the process of receiving it or later on. Your EAD is the official document that allows you to work on OPT or STEM OPT so you should take action to get a replacement if it is lost.

If your EAD is lost in the mail:

  • Submit a  report to USPS about your lost document .
  • Open an inquiry with USCIS.
  • File a new I-765 with new fee for a replacement card.

If you lose your EAD card:

Students who do not exceed 150 days of unemployment and report employment to the ISS as required are automatically granted a 60-day grace period after the end date listed on the EAD.

Within this 60-day grace period, you have the following options:

  • Depart the U.S. Once you leave the U.S. (including trips to Canada and Mexico) after completing your studies and STEM OPT period, you are not eligible to reenter with your current I-20. The grace period is meant for travel within the states and preparation to depart the U.S.
  • Request a new I-20 if you will continue at the UW in a new degree program. If you are an undergraduate and will begin graduate studies, your new I-20 will be issued by Graduate Admissions.
  • Transfer your SEVIS record to a new school.
  • Apply to change status to another visa category.

Where can I find my CIP code?

The CIP code is printed next to your major on page one of your I-20. The code is 6 digits long (xx.xxxx).  Once you find your code, you can consult the entire list of individual eligible CIP codes for the STEM extension available on the SEVP website.

How can I find out what date my UW degree was awarded?

Log into MyUW . Click on “Academics” in the left-side navigation bar, then click on “Unofficial Transcript.” Scroll to the bottom of the transcript and the date you earned your degree will be listed.

If I have a dual major, can I qualify for the 24-month extension based on one of the degree programs?

Yes, if one of the degrees is on the STEM Designated Degree Program List and any job worked while on the extension is related to your STEM degree.

Can I work with an expired EAD while my STEM extension is pending?

Yes. Your work authorization is automatically extended for up to 180 days while the 24-month STEM extension application is pending. There is no interim documentation of the extended authorization. If your employer needs information about what documents to collect as proof of extended work authorization, please refer to them to U.S. Citizenship and Immigration Services I-9 Central .

Can I qualify for the 24-month extension based on my minor or certificate program?

When does my 24-month extension of opt start.

If you have properly filed for a 24-month STEM extension, the period of extension starts the day after the expiration of your original OPT period.

Can I travel outside of the U.S. if my original EAD expires and my 24-month extension is still pending?

Yes, your EAD is considered extended for up to 180 days while your STEM OPT extension application is pending with USCIS. During that period, you can travel outside the U.S. even if your previous EAD is expired.

Can I change employers while the STEM extension is pending?

Yes, you can change employers while your 24-month STEM OPT extension application is pending with USCIS.

If you change employers, report the change to ISS through our change in employment report via your MyISSS portal . In the “comments” section, explain that your STEM OPT extension application is still pending with USCIS. Regulations state that employment changes must be reported within 10 days.

Calling on the Go

You can extend an existing UW Phones service to your cell phone, home phone, or computer for the service to work on-campus or remotely.

Extension Connect

Telecommuter voip, avaya workplace (softphone).

Extension Connect, also known as EC500, allows you to extend your UW telephone service to a cellular or home telephone number. Extension Connect works for most UW-provided phone numbers and allows you to redirect your UW number to another 10-digit telephone number. When Extension Connect is configured and enabled, calls to your UW phone will ring simultaneously on the designated alternate number.

When your UW phone number receives a call, the call rings within a few seconds on your alternate device. You can answer the call on your alternate device and then continue the call from your UW desk phone, without having to transfer the caller or make a return phone call. You can easily turn on and off the service to control when calls made to your UW phone number will ring on your alternate device.

When Extension Connect is configured and enabled and you are using your alternate device to call another UW phone number , your UW number will be displayed just as though the call was made from your UW desk phone.

Extension Connect also allows you to dial any local or domestic long distance phone number through the UW telephone system. First dial into the UW telephone system with your alternate device, then simply dial any number as if you were using your UW desk phone. Your call recipient will see the Caller ID of your UW telephone number instead of the number of your alternate device.

Using Extension Connect

Once your line has been configured with Extension Connect, use the following numbers to control and activate the features:

  • To enable Extension Connect simultaneous ringing: 206-897-1165
  • To disable Extension Connect simultaneous ringing: 206-897-1185
  • After you hear the dial tone, you can dial a five-digit extension, or a ‘9’ followed by the ten-digit number you are trying to reach.
  • To enable Send All Calls to send all incoming calls to voicemail: 206-897-1179
  • To disable Send All Calls: 206-897-1178

Eligibility

This service is only available for UW-IT provided phone numbers that have the prefix of 221, 352, 543, 616, 685, 692, or 897.

If you have phone service provided by UW Medicine, the UW Medical Center, or Harborview, please contact the follow support groups:

UW Phone service customers can submit a request using the Telecom Help Form or by calling the helpdesk at 206-221-5000 for UW-IT to set up your Extension Connect service. When requesting via email, please include your UW extension and the 10-digit alternate number that you want to use with Extension Connect.

UW Telecommuter VoIP phones allow UW faculty and staff to connect to the UW phone system from an off-campus office, such as home. These phones work like they are on campus, providing staff and faculty the ability to work from home or an off-site office, as long as broadband internet access is available.  All UW phone features are available including:

  • 5-digit extension dialing
  • Long-distance dialing
  • Call Logging

For call center agents, call center access is also available for them to meet the needs of their customers without having to commute to the office.

Prerequisites

To install a Telecommuter VoIP phone, the off-campus site must meet the following networking prerequisites:

  • Available surge-protected power outlet.
  • Available ethernet outlet within 15 feet of the VoIP phone.
  • Requires a minimum up/down bandwidth of 96 kbps.
  • Modern router with DHCP and UPnP functionality.

Telecommuters must also update their remote working address:

  • The remote working address must be entered into the UW-IT Emergency Location Management for Off-Campus Phones web portal here .
  • The remote working address must be updated to reflect the current remote working location.

Ordering and Setting Up

UW faculty and staff are eligible for the Telecommuter VoIP service. UW Phones service rates apply. Refer to UW Phones in the UW-IT Service Catalog for details.

Follow the instructions in Ordering New Phone Service to request the VoIP phone. UW-IT will configure the phone and deliver it to your on-campus office. UW-IT can also ship the equipment to your off-site location at additional shipping cost.

Note: Telecommuters outside of Western Washington must purchase the VoIP phone. International calling rates may apply.

Once the phone is delivered, you can install your Telecommuter VoIP phone by following the instructions in Telecommuter VoIP Phone Installation .

Avaya Workplace (formerly known as Softphone) is a software application that runs on your Windows or macOS computer. It can be used in companion with your UW desk phone or replace it completely. Avaya Workplace works both on- and off-campus, and is a great way to take your phone with you as you travel around campus or work remotely.

  • If your receiving institution is Eau Claire, Green Bay, or UW System Administration, please continue to login with your current email address and password. These institutions will begin or continue to assign new emails in mid-July or August.  Additional information will be provided to you at a later time once all remaining institutions email address changes are complete and a date is set to update login email addresses.
  • All other receiving institutions, including some travelers from Madison , have assigned new email addresses. Please use your new email as your login for Concur as of July 1, 2019. Your password remains the same.

For grass seed producers and others concerned about controlling grass thrip populations, University of Wyoming Extension has released a new management guide.

The free digital publication, “ Grass Thrips in Perennial Grasses Grown for Seed ,” provides instructions on how to sample grass seed fields for thrips as well as recommendations for cultural and chemical control. The authors also address the efficacy, application rates and possible advantages and disadvantages of six insecticides labeled for grass thrip control.

These small insects, which feed only on grasses, damage both annual and perennial species. Grass thrips can survive in perennial grass fields year-round and endure temperatures well below freezing.

“A perennial grass seed field will look perfect, and only after harvest will grass thrip damage be revealed,” says Scott Schell, UW Extension entomologist and co-author of the new publication. “Only pest survey and insecticide treatment, if warranted, can prevent crop loss.”

Researchers have determined that grass thrips have an extremely high potential for developing insecticide resistance, which makes informed management even more critical.

Despite the importance of grass thrip control, little research has been conducted on the topic, and Wyoming-specific recommendations are largely absent from scientific literature. The most recent research publication Schell found addressing thrip management in grass species relevant to Wyoming dated back to 1957.

It was time for an updated publication.

“For perennial grass seed producers, preventing the damage the thrips can inflict on the developing seeds can be the difference between profitability or loss,” Schell explains. “Applying insecticide at the correct time in plant development can reduce the grass thrip population and prevent yield losses.”

While perennial grass seed production represents only a small portion of Wyoming’s agricultural economy, specialty crops, such as perennial grasses, may provide supplementary income in years when conventional crops fare poorly, Schell notes. Proper management can help ensure these crops thrive without contributing to potential insecticide resistance.

Wisconsin Badgers athletic board extends contracts of Greg Gard, five other winter coaches

MADISON – The University of Wisconsin athletic board provided no surprises Friday in dealing with UW’s winter sports coaches.

Men’s basketball coach Greg Gard received the standard one-year rollover, which re-establishes his contract at five years.

Gard’s contract now runs through May 31, 2029.

One season after failing to make the NCAA Tournament, UW was seeded fifth in the 68-team field this season.

The Badgers were eliminated in the first round, however, by No. 12 James Madison.

UW finished 11-9 in the Big Ten, reached the league title game before falling to second-seeded Illinois and finished 22-14 overall.

Five other contracts were extended. All are five-year contracts.

UW finished second in the Big Ten (16-7-1) and qualified for the NCAA Tournament for the first time since 2021 in Hastings’ first season.

The Badgers finished 26-12-2 after suffering a 3-2 overtime loss to Quinnipiac in the NCAA Tournament.

The Badgers fell one victory short of winning the eighth national title in program history. UW suffered a 1-0 loss to rival Ohio State in the title game to finish the season 35-6-0.

The Badgers finished 6-12 in the Big Ten and 15-17 overall in Moseley’s third season.

They qualified for the WNIT and won two games to reach the Great 8 before falling, 65-60, to Saint Louis.

UW hadn’t qualified for any national tournament since the 2010-11 season, the last under Lisa Stone.

UW finished 18th at the NCAA championships with 24.5 points. Senior Eric Barnett placed fourth at 125 pounds to secure his third All-American honor.

Senior Phoebe Bacon won the 200-meter backstroke for the second time for the UW women.
